The Senior Coordinator – Asset Services is responsible for coordination of property accounting and financial operations, property and facility operations, tenant relations, amenities and strategic programming for the NYC Region. In addition, the Senior Coordinator – Asset Services will be responsible for assisting in many aspects of the Company functions including, but not limited to, lease administration, tenant improvement projects, capital project coordination and management, and vendor relationship management. The candidate will be an operationally excellent, self-directed, proactive individual, with experience in real estate asset management and accounting, capable of resolving complex issues in a timely manner while prioritizing, effectively communicating and handling multiple projects simultaneously.
Responsibilities and Duties:
Real Estate Accounting & Financial Reporting (50%):
+ Perform real estate accounting functions, including coordination of preparing and implementing operating expense budgets and handling accounts payable invoice coding and approval.
+ Coordinate accounts receivable functions, including reviewing and distributing tenant billing statements and collecting monthly rents.
+ Reconcile and process tenant and property operating expenses on a monthly, quarterly, and annual basis.
+ Perform lease administration functions, including reviewing lease documentation and monitoring economic lease terms and details, tenant billing calculations, rent escalations, and operating expense allocations.
+ Prepare weekly, monthly, quarterly, and annual financial reports in accordance with Company protocols and requirements.
Property Management (35%):
+ Perform property management functions, including physical inspections of property and Company-managed tenant and amenity spaces on a weekly basis, as well as other assigned projects; oversee and manage other property management functions as required of the position.
+ Produce and manage purchase orders and vendor service contracts by using the Company’s accounting systems and adhering to Company processes and applications.
+ Coordinate tenant and vendor certificates of insurance in accordance with Company and property requirements.
+ Coordinate management of third-party vendors, including building engineers, security, maintenance, and janitorial personnel.
+ Assist regional asset services team with oversight and facility operations and coordinate tenant improvement and capital projects.
+ Act as a highly responsive and communicative point of contact for tenants and vendors.
+ Provide weekly updates of all activities to Company management and contribute to quarterly strategy presentations.
Tenant Relations & Strategic Programming (15%):
+ Coordinate, plan, and implement strategic tenant events and programming.
+ Assist with tenant onboarding processes, security coordination, visitor/vendor access, and guest registration.
+ Coordinate tenant communications, including distribution lists, company profiles, events calendar, and marketing emails.
+ Respond to tenant inquiries no later than the same day as contacted, or as soon as possible.
+ Develop relationships with site management and facility representatives for each tenant.
+ Participate in industry events in order to maintain and expand the Company’s presence in the life science communities, as needed.
+ Send tenant notification letters and emails, as needed.
Experience and Qualifications:
+ Bachelor’s degree in a field of real estate, accounting, finance, economics, or business management required; advanced degree preferred.
+ 3+ years of proven, documented success in the real estate finance, accounting, or property management industry with direct practical experience in operating commercial real estate facilities.
+ Strong communication skills required.
+ Strong financial and accounting skills required.
+ Experience in all phases of property operations, including asset and property management functions.
+ Experience with complex, highly technical commercial building systems.
+ Enjoyment of all aspects of customer service and tenant relations.
+ Outgoing, proactive, and energetic disposition.
+ Professional demeanor and attire.
+ Ability to work varying and flexible schedule and to meet obligations outside of regular business hours.
+ Strong computing efficiency in Excel, Word, Outlook, PowerPoint, and Yardi with skills to learn proprietary software systems utilized by the Company.
The expected base hourly wage range for this position is $36.06 to $50.49 USD hourly, plus annual discretionary bonus. This hourly wage range is an estimate, and the actual hourly wage may vary based on the consideration of many factors, which may include, but are not limited to: the individual’s knowledge, experience, education, qualifications, skills, job location, and the Company’s compensation practices.
