This opportunity entails being responsible for supporting assigned procurement programs including but not limited to, travel, records management, fleet management, and office services. This position will provide billing and administrative support, customer service, and process purchase orders, invoices, and adjustments. Other tasks include providing reporting and analytics by compiling and utilizing several sources of data from procurement vendors’ platforms as well as tracking, maintaining, and auditing contracts and service-level agreements.
What You'll Do:
+ Delivers high-level customer service and escalates issues to program managers as needed
+ Supports procurement programs billing activities; receives and reviews invoices, creates payable files in partnership with IT and Accounting for processing and payment.
+ Processes Expense Reports for corporate purchasing cards, procurement cards, and meeting cards, escalates variances for resolution.
+ Generates routine and standard reports from several sources of data from procurement vendor’s platforms.
+ Documents contract service-level requirements including change orders and revisions.
+ Creates user accounts in all related procurement platforms.
+ Reviews weekly termination lists to cancel credit cards, access cards, and user accounts.
+ Performs administrative tasks for the procurement department; reserves meetings in restricted conference rooms, and orders supplies.
+ Performs other duties as assigned.
What You'll Need:
+ Associate’s Degree and 2 years of relevant experience, or
+ In lieu of degree, 4 years relevant experience
What You'll Bring:
+ Effective communication with team members, vendors, and stakeholders to contribute to program goals.
+ Demonstrates a customer-centric approach by professionally handling inquiries and requests.
+ Basic troubleshooting and problem resolution, escalating issues to the program manager.
+ Strong organizational skills, attention to detail, and adherence to processes and procedures.
+ Strong time management skills, consistently meeting commitments.
What We Prefer:
+ Strong administrative support skills, including previous experience booking travel and assisting with expense reports.
+ Previous experience working in Oracle and or Concur Travel a plus.
+ Basic understanding of accounting and previous experience with invoicing/purchasing.
