Essential Duties and Responsibilities:
+ Manages equipment deployment activities, including vendor and branch shipping logistics, estimated time of arrivals (ETAs), purchase order updates, and the creation and tracking of truck requests in collaboration with the logistics department, under the direction of Product Line Managers.
+ Manages and confirms the completion of new equipment checklists for rental fleet assets with branches; ensures equipment is rental-ready upon delivery.
+ Manages equipment receiving and transfer processes in the ERP system.
+ Uploads product specifications and related documentation to the ERP system and company intranet.
+ Manages freight financials and documentation related to the capitalization of serialized equipment, including bills of lading (BOL), branch checklists, and freight invoices.
+ Assist in reporting Capex spend vs. budget pertaining to freight and equipment costs.
+ Maintain the organization of the product hierarchy, ensure all product specifications and warranty data are accurate and complete in the ERP system.
+ Manage Bill of Material updates and work with Procurement on part changes / updates.
+ Ability to troubleshoot reporting and database anomalies in all aspects of repairs, maintenance, and equipment management.
+ Executes administrative tasks for new equipment orders as directed by Product Line Managers.
+ Manages administrative processes related to end-of-life equipment disposal, including Base plan updates and entry of disposal data.
+ Assists Product Line Managers with various projects, including product nomenclature, branch-expensed items, warranty tracking, and specification management.
+ Acts as a liaison between fleet management and branches to support failure and warranty tracking; enters data into the ERP system, monitors open repairs, generates reports, communicates with vendors, and processes warranty-related invoicing.
+ Maintains and oversees the Technical Services module in Base plan.
Education and/or Experience:
A Bachelors’ Degree is preferred. Minimum of two (2) years of experience in fleet management or operations practices is required.
Required and desired skills to excel as a Fleet Coordinator, candidates must possess a combination of analytical skills, business acumen, strong organization, and effective communication abilities. The role requires the ability to translate complex data into actionable insights that can drive operational decisions. Experience in fleet management or operations is a valuable asset, but individuals with a background in data analysis, supply chain, or logistics can also transition into this role with the right skill set.
Fleet Coordinator applicants should meet the following criteria:
+ Experience in an operational or analytical role requiring data analysis skill sets, and the creation of KPIs/Reports etc.
+ Intermediate-to-advanced MS Excel skills - Pivot table, Vlookup, Graphs, Charts, Formulas etc.
+ Ability to present data and draw insights
+ Strong communication and teamwork skills
