Job Summary and Qualifications
Responsible for the day-to-day functions of the registration and reception area. Performs oversight of front office operations in the absence of the Office Manager or Director. Responsible for establishing the initial and on-going impression for patients, families and/or caregivers, and other customers. Responsible for accurate and timely collection of payments, submission of refunds, balancing each day, scheduling of patient appointments, complete and accurate maintenance of medical records, and providing support to clinical and administrative staff to enable operations to run efficiently.
What you will do in this role:
+ Maintains expertise in Business Office operations.
+ Serves as a resource to meet the needs of the Business Office staff.
+ Works with 3rd part billing company to investigate and resolves patient complaints that pertain to billing.
+ Posts receipts accurately, balances and prepares daily bank deposits and receipt money.
+ Generates accurate financial reports each day
+ Sort and distribute incoming mail.
+ Deposit checks through bank as appropriate, disburse to billing company as appropriate.
+ Post all mailed payments to patient accounts.
+ Assist in patient registration as needed.
+ Handles patient phone calls, including taking and posting payments to patient accounts.
+ Ensures that all financial agreements made prior to and/or during registration are properly documented and entered inthe system promptly.
+ Identified and processes patient and third-party insurance refunds in a timely manner
+ Identifies those patients with inadequate or no insurance coverage. Makes personal contact with patient or guarantorto make financial arrangements.
+ Identifies and attempts to collect the estimated self-pay portion of all accounts prior to admission.
+ Review all demographics with patient to ensure accuracy and completion.
+ Is familiar with and can explain each business office document to the patient/care giver.
+ Makes financial arrangements with guarantors who are unable to pay their self-pay balances in full prior to admission.
+ Documents financial arrangements on a promissory note and in the computer.
+ Notifies billing company immediately of any and all problem accounts or potential problems that may arise.
+ Responsible for balancing payment batches at the end of each day.
+ Corrects and resolves errors found during daily close.
+ Accurately answers and/or initiates correspondence in a timely manner.
+ Prioritizes work efficiently and effectively.
+ Assists the Director in the day to day running of the business office.
+ Assists pre-registration and registration with billing/insurance/payment issues as they arise.
+ Assists pre-registration with insurance eligibility and benefits.
+ Assists pre-registration with patient calls.
+ Assists registration with angry/difficult patients.
+ Responsible for all Lead MOA duties.
+ Responsible for HIM specialist duties in their absence.
+ Orients new staff.
+ Maintains postage machine funding and supplies
+ Assists with Kronos in the absence of the Director.
+ Assists with Supply Ordering.
+ Maintains procedure schedules daily.
+ Maintains opening of schedules throughout the year.
+ Prepares all documentation for annual accounting audit.
+ Serves as custodian of the cash box for over-the-counter collections.
+ Ensures all forms are in stock and accurate. Revises as necessary.
+ Performs other related functions as assigned.
What qualifications you will need:
+ High School Graduate / GED
+ 3 to 5 years related experience.
+ Demonstrated communications and customer service skills, success in organizing work and ability to multi-task.
