Overview
The Finance and Administration (F&A) Associate’s primary responsibilities are to support the day-to-day activities of the financial, human resources, and administrative functions of the Fisher Center. The F&A Associate will report to the Director of Finance and Administration and will work to support all the other departments at theFisher Center (https://fishercenter.bard.edu/) and work closely with other departments at Bard College.
Job Responsibilities
General responsibilities include, but are not limited to:
+ Help maintain accounting resource spreadsheets in support of all FC departments
+ Help maintain the F&A guidebook
+ Conduct financial research and generate reports as needed with the Director of F&A
+ Assist the Director of F&A with ongoing financial data clean-up and reconciliations
+ Create and submit journal entries to correct or properly allocate budget expenses or income
+ Allocate corporate credit card expenses and complete monthly credit card reconciliations
+ Help manage the payee tracking data system and all Accounts Payable (A/P)
+ A/P: check incoming mail for physical bills/invoices
+ A/P: generate check requests
+ A/P: handle artist reimbursements and cash advance reconciliations for FC staff
+ A/P: submit payment requests in campus mail or in person at the Bard Business Office
+ A/P: communicate with vendors about the status of payments as needed
+ A/P: retrieve and mail checks to artists and vendors on a weekly basis
+ A/P: work with all departments to ensure contracts and invoices are set up for payment
+ Troubleshoot and help with employee paperwork/timesheet issues
+ Support staff and artists to help resolve issues with payroll systems
+ Assist with payments/tax documents for foreign nationals
+ Work with the F&A team to determine and apply appropriate account codes for recurring and one-off events
+ Update the Chart of Accounts as needed and communicate with Bard College Budget Office about Chart of Accounts issues
+ Generate invoices for accounts receivable (A/R)
+ A/R: File checks and incoming wires with the Bard College Budget Office, providing proper account codes for allocation
+ Order office supplies as needed
+ Facilitate domestic and international shipping
+ Help manage Amazon Business, Wayfair, American Printing and Office Supplies, PayPal, E-Z Pass, FedEx accounts, and others
+ Pay and allocate FedEx invoices, dispute/resolve errant charges
+ Assist with HR tasks as needed
+ Other projects as assigned

Qualifications
Experience
+ 2–3 years of professional administrative experience
+ Financial literacy and accounting experience
+ Familiarity with complex data management and systems implementation
Knowledge, Skills, and Abilities
+ Proficiency with Google Sheets, Team Drives, and Documents
+ Excellent communication skills and superior attention to detail
+ Analytical skills
+ Strong problem-solving and creative solution-making skills
+ Solid time management with the ability to prioritize tasks and flexibility to pivot in a fast-paced environment
+ Ability to work well both independently and closely with other team members
+ AirTable familiarity is a plus
Preferred Qualifications
+ Experience in a financial or administrative support position in a college or performing arts setting
+ Previous bookkeeping experience
+ An undergraduate, pre-professional, or equivalent experience in accounting and/or a related field is preferred but not required
Working Conditions
+ Fast-paced, professional environment with a balance of self-driven and supervisor-directed tasks
+ While some tasks can be performed remotely, this role will require on-site presence at the Fisher Center for meetings, on-campus administrative tasks, performances, and events
Location
Bard’s beautiful 1,000-acre campus is situated on the east bank of the Hudson River, in Annandale-on Hudson, New York. Community life is defined by numerous cultural and recreational opportunities in the surrounding historic Hudson River Valley and by proximity to New York City. Nearby towns and villages include Rhinebeck, Tivoli, and Red Hook, New York.

Compensation:$24 – $27
This salary range reflects the College's good faith and reasonable estimate of the compensation for the position at the time of the job posting. Salary decisions are dependent on several factors including but not limited to market and organizational considerations, experience, and qualifications of a selected candidate as well as internal and external equity.
