Project Accountant / Accounts Payable Specialist for Burlington, MA

The role
The detail-oriented Accountant/Accounts Payable Specialist supports our financial operations. Reporting to the Controller, this role is part of a four-person accounting team. This role involves assisting with project accounting, managing accounts payable processes, and ensuring accurate and timely billing. AHA has a hybrid schedule with three days per week in the Burlington MA office (Monday, Wednesday, Thursday).
Essential Duties
The following skills and duties are necessary to perform the job successfully but are not all inclusive:
Project Accounting & Billing (60%)
+ Assist with project setup and ensure accurate financial tracking in Deltek VantagePoint.
+ Prepare and submit client invoices, including uploading of client invoices to client online portals, as required based on contract terms and project milestones.
+ Monitor outstanding invoices and follow up on collections as needed.
+ Support project managers with budget tracking and financial reporting.
+ Ensure compliance with contract requirements, including proper documentation and cost allocations.
Accounts Payable (25%)
+ Process vendor invoices, ensuring accuracy and compliance with company policies.
+ Review and reconcile statements from vendors and subcontractors.
+ Prepare and process payments via ACH, checks, and wire transfers.
+ Maintain organized digital and physical records of transactions.
General Accounting Support (15%)
+ Assist with month-end closing processes, including posting entries and reviewing reports.
+ Collaborate with internal team members to ensure financial data accuracy.
+ Support audits by preparing the required documentation.
+ Assist with check deposits.
+ Other tasks as requested.
Qualifications (Required):
+ Associate or bachelor’s degree in accounting, finance, or a related field (or equivalent experience).
+ Minimum of two years’ experience in project accounting, or related finance roles.
+ Minimum of one year’s experience in accounts payable.
+ Proficiency in accounting software (e.g., Deltek, QuickBooks, or similar) and Microsoft Excel.
+ Strong attention to detail, organizational skills, and ability to meet deadlines while multitasking and following through to completion.
+ Strong knowledge of accounting principles, problem solving skills and research and resolution skills.
+ Excellent communication and interpersonal skills.
+ Ability to work independently and collaboratively in a team.
Qualifications (Preferred):
+ Experience in engineering, architecture, construction, consulting or professional services environment
+ Experience with Deltek - Vantagepoint Version
+ Five years’ experience in project accounting, or related finance roles
