How your work would contribute to our organization and the Twin Cities region:
The North Loop Facilities Support Coordinatorwithin Metro Transit's Engineering and Facilities (E&F) department is responsible for serving as the first point of contact for campus communications and the coordination of facilities support services. The Support Coordinator acts as a liaison for various departments throughout the North Loop campus as well as outside parties using campus facilities. The Support Coordinator monitors the North Loop parking system and enforces applicable policies and procedures as needed.
This position is open to both internal and external applicants, however, internal ATU candidates will receive priority. The selection process for internal candidates will follow ATU's seniority guidelines.
Salary range: External hires start at a pay rate of $24.58 hourly ($51,126.40 annually). Internal hires will follow ATU wage guidelines.
This posting will be used to establish a 6-month eligible list for current and future hires.
What you would do in this job
1. Oversee and administer North Loop Campus parking lots procedures:
+ Continually monitor several cameras in North Loop Campus parking lots for staff
+ Monitor FTH and MPPD Office Facilities/Towers, visitor and ADA parking lot, and new North Loop garage lot for proper facility use, and procedure compliance
+ Enforce Parking Policy, including notifying parking violators and contacting towing contractors to remove vehicles
+ Maintain employee databases and system uploads for employee badge access for priority use of North Loop parking lots
+ Respond to inquiries regarding parking lot equipment failures and problems with employee badge access to staff parking lots
+ Coordinate with Building Maintenance Supervisor and Asset Protection staff with details to make necessary parking lot equipment repairs and employee badge accessibility
+ Review North Loop Parking policies and procedures manual and makes change suggestions to Supervisor
2. Provide back-up assistance to the current North Loop coordinator related to campus general meeting support and coordination for conference rooms used by the Met Council, Transportation Committee, government agencies, etc. and outside community groups:
+ Maintain meeting reservations and communicates room set up request information for conference rooms that are available to the community
+ Monitor information boards for the North Loop Campus
+ Provide support for after-hours conference events as needed, ensuring smooth operations and addressing attendee needs
+ Prepare and communicate North Loop campus facilities room set up for monthly chamber meetings for Met Council and outside groups
3. Administer Metro Transit North Loop campus safety communications and coordination with Safety Department:
+ Coordinate Emergency Evacuation process in connection with the Safety Department
+ Make emergency public address announcements in response to fire, severe weather, computer network difficulties, etc
+ Ensure all updated materials are properly posted and distributed with the direction of the Safety Dept
4. Perform the role of Metro Transit North Loop Campus Facilities Support Coordinator:
+ Represent the E&F Director's Office in serving as the initial E&F point of contact for North Loop campus facilities including communications center and support services coordination
+ Perform campus liaison assistance between E&F, other Departments, and outside parties to ensure timely facilities communications and efficient campus operations
+ Perform back-up administrative support to the E&F Director and other management staff as needed
+ Prepare documents, correspondence, and routine statistical reports using tables, graphs, and charts from more than one software package
+ Assist walk-in data requestors complete a data request online
5. Provide back-up assistance in the mail room (30%):
+ May require travel around the North Loop campus
+ May require lifting 20 lbs. or less
+ Work in close proximity to mailroom equipment, such as copiers, printers, scanners, and postage machines
What education and experience are required for this job (minimum qualifications)
High school diploma/GED or equivalent AND three (3) or more years of related clerical/administrative support experience in similar office environment
What additional skills and experience would be helpful in this job (desired qualifications):
+ Detail-oriented, ability to multi-task, and excellent organizational skills
+ Experience explaining services, problem-solving, and taking/answering customer feedback via in-person, phone, or email
+ Administrative support experience working for a governmental agency
+ Experience being the first point of contact for a wide variety of customers or a large workforce within a large office facility
+ Experience answering a main telephone line using a computerized telephone system
+ Intermediate experience with Microsoft Word, Excel, PowerPoint, Outlook, and Teams applications
+ Experience working with Metro Transit's services, structure, policies, and procedures
+ Experience working with a diverse workforce and customer base
What knowledge, skills, and abilities you should have within the first six months on the job:
+ Knowledge of Metro Transit programs and services to provide accurate information
+ Knowledge of Microsoft Office e.g. Word, Excel, PowerPoint, Access Outlook applications and access databases; navigate multiple windows and programs
+ Knowledge of computerized telephone system (Mitel IP Console Telephone System)
+ Ability to work independently, make decisions, multi-task, prioritize, and problem solve
+ Ability to demonstrate critical thinking and advanced problem-resolution skills
+ Ability to maintain close attention to detail and achieve a high level of accuracy
+ Ability to communicate and work well with others across department lines and at all levels
+ Ability to work with confidential and secure information
+ Ability to handle multiple priorities and engage and participate in multiple projects simultaneously
