    The Admission Operations Team Members will provide a variety of support for the Admission Office, managing multiple tasks in a fast-paced, dynamic environment; contributes to office customer service excellence through phone, email, and in-person contacts with students, parents and school officials; effectively utilizes all College productivity applications (e.g. Microsoft Office Suite, Slate, OnBase, Colleague, and Google Office Suite) to process and maintain all inquiries and applications throughout the admission cycle; maintains and applies knowledge of Admissions policies, programs, and application requirements in order to manage records appropriately and respond accurately to questions.

     

    This position provides support to our Visit Coordinator as needed and will be trained to provide back-up support to other team members when needed. This is a full-time, nonexempt position with a pay range of $18.50 - $20.50.

    Responsibilities:

    + The Admission Operations Team Members will create and maintain electronic files for prospective students and applicants to the College which includes: data entry of inquiries, scanning and indexing application materials, reviewing uploaded information, verifying official transcripts, identifying and merging duplicate records, assigning interactions to student records, adding test scores as needed, verifying fee waiver documentation, completing any change data requests. Assist Operations Manager with special projects related to application processing as needed.

    + Manage general Admission email account, which includes using admission policies and judgment to determine who needs to respond to each email and forwarding as appropriate. Respond in a timely and professional manner to all inquiries from students, parents and school officials related to general information, application requirements, and specific application materials.

    + Communicate by phone with prospective students, parents, and school officials concerning basic Admission information, application requirements and status following office Customer Service Pledge guidelines.

    + Sort, distribute, and scan all mail as needed.

    + Provide administrative and organizational support to the Assistant and Associate Deans of Admission throughout the year. Assist with mailing publications to travel destinations and provide support for various special projects as needed.

    + Assist with preparation, registration and greeting visitors at Admission events as needed.

    + May perform other related duties as assigned.

    + Provide backup support to the Visit Coordinator as needed to cover breaks, lunches, vacation.

    A high school diploma, plus two or more years related experience is required. An Associate’s degree is preferred. Equivalent combination of education and experience will be considered.

     

    Knowledge, Skills, and Abilities

     

    Candidates should possess excellent organizational, interpersonal, communication, and customer service skills. Also required is the ability to maintain confidentiality, work well independently and as part of a team and to work under pressure against tight deadlines. The ability to work some nights and weekends. Excellent judgment, accuracy and attention to detail in all aspects of work is essential. Proficiency with computers, especially with databases, word processing, and Microsoft Office.
