+ Bachelor’s degree in business administration, education, higher education administration, student affairs, or a related field.
+ At least 2 years of experience in student services, online program administration, academic advising, enrollment management, or a related area.
+ Experience working with student information systems (e.g., Banner 9, Slate CRM , Degree Works, Canvas LMS ).
+ Excellent problem-solving abilities, especially in handling escalated student concerns.
+ Knowledge of financial processes, including billing, tuition payments, and financial aid coordination.
+ Effective communication and interpersonal skills to liaise between departments.
+ Ability to work both independently and collaboratively in a fast-paced environment.
Preferred Qualifications
+ 3+ years of progressive experience in student services, online program administration, academic advising, enrollment management, or a related area in higher education.
+ Advanced proficiency in data analysis and reporting tools.
+ Strong project management skills.
+ Knowledge of Texas State University systems, organization, policies, and procedures.
Job Description
The Online Operations Coordinator is responsible for assisting the Director of Online Operations in managing and enhancing online programs, coordinating student services, and ensuring seamless operations across multiple departments. Key responsibilities include supporting enrollment processes, analyzing data for strategic planning, addressing escalated issues, overseeing financial and billing procedures, ensuring course scheduling compliance, and facilitating interdepartmental communication to promote student success and operational efficiency.
Job Duties
Online Program Management:
+ Assist in the operational oversight and coordination of both existing and new online programs.
+ Support the implementation, maintenance, and continuous enhancement of online student admissions and enrollment processes using systems such as Slate CRM , Banner 9, Degree Works, and Canvas LMS .
+ Collaborate with the Director of Operations on initiatives and services that support online student success, including managing the support desk, support services portal, and academic advising.
+ Serve as a liaison among students, faculty, and various departments, ensuring timely communication and resolution of issues related to online courses and programs.
Data Analysis and Strategic Planning:
+ Collect, analyze, interpret, and present data to various stakeholders to support strategic enrollment management, forecasting, and student learning outcomes.
+ Contribute to the development of strategic plans aimed at sustaining enrollment growth and enhancing student success.
+ Provide analysis and recommendations on policies and procedures related to student services and staff interactions.
Student Services & Support:
+ Provide guidance, coordination, and direction to staff as needed.
+ Address and resolve student complaints and conduct investigations when necessary.
+ Serve as the primary point of contact for handling complex or urgent issues escalated by students, faculty, or staff, ensuring prompt and effective resolution.
+ Investigate, troubleshoot, and resolve escalated issues related to university services, including billing, financial aid, registration, and academic concerns, in collaboration with relevant departments.
+ Maintain a high level of customer service by approaching escalated concerns professionally and empathetically, focusing on resolution and maintaining positive relationships.
Financial Management & Coordination:
+ Assist departments in managing billing processes for tuition, fees, and other charges, ensuring accuracy and timely invoicing for all enrolled students.
+ Monitor and reconcile student accounts to ensure proper application of payments, adjustments, and credits.
+ Collaborate with university departments, including registration, housing, and academic advising, to address financial holds or account issues promptly.
+ Provide students with clear and concise information regarding their financial obligations, payment options, and university policies.
+ Assist in managing the financial aspects of online programs, including tracking tuition payments, coordinating financial aid inquiries, and supporting scholarship or grant applications.
+ Work closely with relevant departments and partners to ensure accurate processing of billing transactions.
Course Scheduling & Compliance:
+ Assist in scheduling courses for upcoming terms, ensuring course availability as needed.
+ Ensure accurate reflection of course information, including course codes, descriptions, meeting times, locations, and instructor assignments, in the scheduling system.
+ Monitor faculty course loads to ensure adherence to university policies regarding maximum and minimum teaching assignments.
+ Evaluate course eligibility for academic assistant support and process requests accordingly.
+ Coordinate with relevant departments to ensure timely and accurate processing of course development stipends.
Interdepartmental Coordination & Communication:
+ Act as a liaison between departments (e.g., Student Accounts, Financial Aid, Registrar, Graduate College, Admissions, and IT) to facilitate smooth communication and resolution of issues.
+ Ensure clear and effective communication between departments, keeping all parties informed of the status of escalated issues and required follow-up actions.
+ Maintain documentation of all escalated issues, resolutions, and feedback, ensuring an organized tracking system for monitoring ongoing issues and necessary follow-ups.
+ Identify recurring issues or inefficiencies in university processes and collaborate with departments to implement improvements that reduce future escalations.
Other Duties:
