The Department of Neurological Surgery has an outstanding opportunity for a TSI Associate Director to join their team.
The UW Medicine Sports Institute (TSI) is a leader in innovation, research, education and advocacy in physical activity and sports safety. Our clinicians, researchers, and community partners are committed to advancing physical activity and sports safety through education, research, policy, and advocacy. Working with collaborators across the University of Washington (UW), UW Medicine and experts U.S. and international, we seek to make physical activity and sports more accessible and safe, leveraging participation in movement across the lifespan as a means to a healthier society.
Our Administrator (Associate Director) position will help shepherd TSI through a new phase into the future. The Administrator will serve in a variety of key roles and demonstrate leadership, effective project and portfolio management skills, and independent judgment and decision-making authority in performing a range of responsibilities, including developing and executing fundraising strategies, program and budget planning, grant and contracts administration, human resources assistance and personnel administration. The TSI includes a robust website, Advancement liaison, and dedicated staff which the Administrator will oversee. This highly visible position at UW Medicine will manage the operations of TSI, be responsible for developing and maintaining an administrative infrastructure to support the work of the Institute, TSI faculty, and work closely with a variety of other partners across the healthcare system, University of Washington, community partners, and national sports organizations.
This role requires strong management and supervisory skills coupled with attention to detail, the ability to manage a team and meet tight deadlines, efficient organizational and financial skills, excellent public communication skills, grant and philanthropic fundraising, and the ability to manage multiple projects and stakeholders. A high level of integrity and discretion in handling confidential information and professionalism in dealing with internal and external professionals is key. The successful candidate will possess outstanding leadership and administrative skills, employ strategic tools to develop and assess options, lead the implementation of strategic initiatives and be responsible for end results.
More specifically, in partnership with the Institute’s Director, this position will:
+ Work closely with the Executive Team and Advisory Board to craft a five-year strategic plan to achieve measurable results.
+ Lead the administrative team supporting the Institute’s operations.
+ Establish strong working relationships with public, private and non-profit leaders who are in a position to influence physical activity and sports safety strategies.
+ Partner with UW Medicine Advancement to promote TSI and secure major individual and corporate gifts, maintain ongoing stewardship with the Institute’s supporters and donors, and develop new outreach and fundraising efforts including event planning.
+ Provide project leadership and support to the Director and TSI faculty for participation in a variety of national and international sports organizations and conferences.
+ Support TSI's concussion and brain health portfolio, clinical innovation projects, community outreach, Husky Fellowship student-athlete program, The GamePlan film series, online learning resource center, and lead the continued development, maintenance of TSI public facing multimedia for its educational and advocacy programs.The necessary attributes to successfully meet these demands include sophisticated project management experience, high integrity and work ethic, problem solving skills and initiative, the ability to handle confidential information, a professional and personable demeanor, and the ability to help lead multidisciplinary teams with stakeholders ranging from patients, parents, and youth to scientific experts and policy makers. The ideal candidate is able to work successfully in a team environment and build effective working relationships inside and outside of the medical center and University while keeping abreast of university academic and business objectives, policies, standards, services and procedures in order to guide compliance and evolve TSI’s priorities to meet the needs.The Institute was initially founded in 2015 by a gift from the NFL and private donors. The Institute is held to the highest standards for compliance for funds and operations management as a part of stewardship agreements. **DUTIES AND RESPONSIBILITIES** ADMINISTRATION, BUDGETS AND FINANCE 35%
+ Supervise administration activities within the Institute, and establish and manage team progress on work priorities and deadlines for projects.
+ Support budgetary affairs of TSI, including financial planning, monitoring, and forecasting of all major Institute budgets with guidance from the Vice Chair of Finance & Administration and support from the department finance team.
+ Liaising with department finance team to perform audits and approve all expenditures for compliance with proposed budget goals and regulatory requirements at the unit, UW, State, and Federal levels.
+ Create and implement effective organizational flow and business processes that are in alignment with TSI strategic goals and in compliance with departmental, School of Medicine (SOM) and UW policies and procedures.
+ Design, disseminate, implement, and oversee organizational and administrative policies and procedures.
+ Direct all hiring and supervising personnel in concert with department and TSI executive leadership.
+ Assist staff with human resources questions and concerns.
+ Ensure compliance with TSI, departmental, SOM and UW policies and procedures.STRATEGY, ADVANCEMENT AND PROGRAM SUPPORT 30%
+ Assist with the development and execution of a strategic plan to achieve measurable results.
+ Work with UW Medicine Advancement to secure individual foundation, and corporate gifts to support TSI operations, and develop new outreach efforts.
+ Support the development of the Institute’s innovation, educational, research and advocacy programs including high level project management of major research and project grant funding applications.INTERNAL AND EXTERNAL RELATIONS / OUTREACH 20%
+ Establish strong working relationships with leaders and potential collaborators who are aligned with our mission or who could benefit from our programs.
+ Represent the Institute in internal and public-facing conferences and speaking engagements.
+ Guide the communications/media staff in creating and disseminating monthly, quarterly and annual financial and operational reports as indicated for public, donors, and advisory board.
+ Lead PR, media and related communications efforts.EVENT PLANNING AND EXECUTION 10%
+ Plan and oversee the execution of Institute-sponsored symposia and other events including fundraising events in conjunction with UW Advancement.
+ Cultivate relationships with key participating sponsors, community partners, researchers, physicians, engineers, entrepreneurs and advocates of safety in sports.
+ Develop, track and monitor timelines.
+ Oversight of site selection, budgeting, event schedule, accommodations, catering, transportation, billing, media relations and other logistics.
+ Primary on-site manager for events.
+ Perform post-event analysis and make recommendations for improvement.OTHER DUTIES AS ASSIGNED 5% **MINIMUM REQUIREMENTS**
+ Bachelor’s degree in Public Health, Sports Science, Marketing, Business, Communications, Political Science or related field.
+ The minimum level of experience is 4 years **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** The minimum level of experience is 4 years in:
+ Administrative leadership experience, including program and budget planning.
+ Experience in program management and event planning.
+ Excellent verbal, written and interpersonal communication skills.
+ Professional maturity, with the ability to work collaboratively across large multidisciplinary teams and departments with minimal supervision.
+ Ability to work effectively with high-level external partners and collaborators, including healthcare providers, researchers, community partners, policymakers and donors.
+ Strong working knowledge of the Microsoft Office Suite and proficiency in the use of Internet technologies, digital apps and tools, and database systems. **DESIRED QUALIFICATIONS**
+ Masters of Business Administration or Masters in Public Health.
+ Dynamic, engaging public speaker and skilled writer.
+ Experience in nonprofit outreach communications, including social media platforms.
+ Knowledge of alumni relations, philanthropy, and advancement principles.
