Description
We are looking for a detail-oriented and experienced Payroll Specialist to join our team. In this role, you will be responsible for managing and processing payroll for all employees within the organization. You will ensure accurate and timely payroll processing, handle payroll-related inquiries, and maintain compliance with federal, state, and local regulations. You will also be responsible for preparing payroll reports, managing deductions, and assisting with the preparation of related financial records. This position requires someone who is highly organized, trustworthy, and adept at working with sensitive information in a fast-paced environment.
Key Responsibilities:
+ Process payroll for all employees on a bi-weekly, monthly, or weekly basis (depending on company payroll schedule)
+ Ensure accurate calculation of wages, bonuses, commissions, overtime, and deductions
+ Maintain and update employee payroll records, including hours worked, vacation/sick leave, and tax information
+ Ensure compliance with federal, state, and local payroll regulations, including tax withholdings and deductions
+ Respond to payroll-related inquiries from employees and resolve any payroll discrepancies
+ Prepare and file payroll reports, including tax filings, year-end documents (W-2s, 1099s), and other payroll-related records
+ Work closely with HR to ensure proper employee classification, benefit deductions, and leave balances
+ Handle confidential payroll information with discretion and integrity
+ Assist with audits and ensure payroll records are accurate and complete
+ Collaborate with other departments to ensure smooth and efficient payroll processing
Requirements
Education: High school diploma required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
Experience: Proven experience in payroll processing or a related field. Experience with payroll software (e.g., ADP, Paychex, or similar) is a plus
Technical Skills: Proficiency in Microsoft Office Suite, especially Excel. Familiarity with payroll software is highly preferred
Attention to Detail: Strong attention to detail and accuracy in payroll processing and record-keeping
Organizational Skills: Ability to manage multiple tasks and deadlines while maintaining accurate records
Communication Skills: Excellent written and verbal communication skills to handle inquiries and explain payroll information to employees
Problem-Solving: Ability to identify payroll discrepancies and resolve issues efficiently
Confidentiality: Strong sense of discretion and ability to handle sensitive payroll data confidentially
Knowledge of Payroll Regulations: Understanding of federal, state, and local payroll tax laws and regulations
