Job Summary:
The Shoreline Management Team is dedicated to preserving and enhancing the natural and built environments along our shorelines. The Administrative Support Specialist plays a crucial role in ensuring the smooth operation of the team by providing comprehensive administrative, clerical, and paralegal support. This position involves a variety of tasks, including receptionist duties, timekeeping, expense account processing, travel arrangements, meeting scheduling, supply ordering, extensive filing, document production, calendar management, and executive phone coverage.
Key Responsibilities:
Receptionist Duties: Manning the receptionist desk during normal business hours, greeting visitors, and handling incoming calls.
Administrative Support: Managing timekeeping, processing expense accounts, making travel arrangements, scheduling meetings, ordering supplies, extensive filing, making copies, and scanning documents.
Document Production: Typing and producing documents, proofreading, and ensuring accuracy and completeness.
Calendar Management: Managing calendars for team members and executives, scheduling appointments, and coordinating meetings.
Executive Phone Coverage: Providing phone coverage for executives as needed, ensuring messages are relayed promptly and accurately.
Education / Job Experience:
Preferred: Associate or Bachelor’s degree.
Required: Extensive experience in an administrative support role, with a preference for career administrative professionals.

Computer Skills: Extensive proficiency in Microsoft Office products (Outlook, Word, PowerPoint, SharePoint, and Excel).
Organizational Skills: Strong organizational and administrative skills with attention to detail.
Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with all levels of customers and employees.
Multitasking: Ability to organize, prioritize, and perform multiple/diverse activities with minimal supervision.
Teamwork: Demonstrated strong teamwork skills, coupled with the ability to work independently with minimal supervision.
Time Management: Excellent time management skills and the ability to adjust to changing priorities.
Proofreading: Strong proofreading skills to ensure accuracy in documents.

Pay and Benefits
The pay range for this position is $18.00 - $23.00/hr.
