In this role, you'll ensure the efficient operation of the office while providing essential support to key departments, including Operations and Real Estate. The Administrative Coordinator plays a crucial role in offering general administrative assistance to keep things running smoothly. The purpose of the Administrative Coordinator is to:
+ Oversee daily office operations, including supplies, cleanliness, mail distribution, and equipment troubleshooting, while providing administrative support to key departments like Operations and Real Estate.
+ Assist with the coordination of office events, process invoices, manage merchandise inventory, and support the Business Manager with ad hoc tasks.
+ Provide operations support by assisting with safety program management, contractor onboarding, system troubleshooting, and handling real estate documentation and payments.

Key Responsibilities:
+ Office Administration
+ Oversee daily office operations, including opening and closing procedures
+ Manage office supply and snack orders for all sites on a monthly basis
+ Maintain office cleanliness and aesthetics
+ Coordinate mail distribution and manage FedEx label printing
+ Redirect general inquiry emails to the appropriate departments
+ Set up and troubleshoot office equipment, including printers and AV systems
+ Manage merchandise inventory, including maintaining size spreadsheets
+ Handle office key and FOB distribution
+ Assist with event planning tasks
+ Process invoices and payments
+ Assist the Operations Director with managing the safety program
+ Manage supplier and contractor onboarding
+ Troubleshoot and resolve issues with corporate systems
+ Organize contractor documentation
+ Provide administrative support for real estate documentation using Infeauxnet
+ Assist with monthly rent payments and Percentage Rent Remittance (PRR) calculations
Requirements:
Education and experience:
+ High school diploma or equivalent
+ College degree in Business or a related field preferred
+ Experience in office management or project management preferred
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite) preferred
Knowledge, skill, and ability:
+ Excellent verbal and written communication skills with the ability to interact effectively across diverse social, cultural, and educational backgrounds
+ Strong organizational skills with keen attention to detail while maintaining a big-picture perspective
+ Proactive, professional, and positive work ethic
+ Ability to work both independently and collaboratively
+ Basic technical aptitude to troubleshoot minor office equipment issues
