    Job Summary

    The Department of Obstetrics and Gynecology is passionate about and dedicated to the improving the reproductive health of women. We are looking for a Project Admin/Coordinator for studies within the onWHARD (Women's Health and Reproductive Disparities) collaborative team to understand the factors that contribute to disparities in women?s reproductive health. These studies seek to address the significant gap in our knowledge of fibroids and other Women's Health and reproductive issues. We are looking for a skilled and experienced candidate who possesses great organizational and communication skills.

     

    The position involves providing comprehensive administrative support to the Principal Investigator (PI), Research Operations Manager with various administrative tasks related to assigned projects. It includes organizing project details and managing assignments, acting as a liaison between team members and the operations manager to ensure seamless project coordination. The role also requires ability to do literature reviews, organize references in endnote, coordinate creation of promotional materials, supporting the development and implementation other study needs, etc. Additionally, working closely with various departments to enhance project communication and updates is essential. The position demands staying current with research needs and strategies to increase study awareness in multiple community engaged research projects.

    Responsibilities*

    Project Coordination

    + Planning and coordination of project tasks and activities; Coordinate to ensure regulatory or company policy compliance for special projects or ongoing programs

    + May conduct or support research studies

    + Conducts literature research for grant proposals and other needs, list references in endnote software

    + Actively coordinate with admin assistant team to ensure scheduling and organizing of meetings as required and as per project needs; maintain and share agenda, minutes, next steps, etc.

    + Support report preparation, prepare project plans and maintain records, and advise team on course of action.

    + Confirm upcoming meetings and review to ensure technology is used correctly for all operations (video conferencing, zoom links, presentations etc.)

    + Prepare slide drafts based on information or content provided, edit slides, support with newsletter distribution

    + Organize and keep study records updated including budget and proposal sheets, project documentation and decision messages, update versions and email distribution lists in a timely manner

    + Coordinate gathering data and information from different teams, and sharing with team leadership

    + Obtains quotes from internal and external vendors for swag, flyers, and other purchases

    + Manage inventory and proactively track to ensure promotional items are available

    + Closely coordinate event or tabling organization needs including ordering food, printing posters and flyers, booking of event venue, etc.

    + Supporting development of event materials like flyer/brochure, plan logistics, and other event organization needs as delegated

    + Support project expense reporting; invoice maintenance for reconciliation

    + Provide administrative support: under direct supervision of manager, assist in data entry, minor research compliance needs, tracking and f/u of training compliance (HSP, RCRS, mandatory trainings, etc.) of staff, residents, students, etc.

    + Assist in tracking timesheet submission and approval; track shared calendars for timekeeping

    + Lead and participate in special projects and initiatives; and provide team coverage to meet sponsor deadlines

    + Respond to inquiries and explain policies and procedures.

    + Good communication skills desired

    + Travel to community engagement event site to support project teams as needed

    + Other coordination and research project support duties as assigned

    Required Qualifications*

    + Required:Bachelor's degree or equivalent in health-related field, health education, etc.

    + Minimum: 2 years of direct experience as program coordinator or relevant position in project coordination in research, clinical, or other healthcare settings

    + Knowledge and/or experience in community engagement preferred

    + Experience in research participant engagement, data capture, & compliance desired

    + Must be tech savvy:proficiency required in software like MS Office products, Canva, Endnote, and/or other reference management software

    + Knowledge of project management and reference management procedures

    + Ability to work with diverse and multi-disciplinary teams across multiple departments and units

    + Proactive in workstyle, excellent time-management, and organizational skills

    + Detail oriented, good writing skills and excellent communication skills

    + Good knowledge/skills of web analytics, and various social media applications would be a plus

     

    Work Locations

     

    This is a full-time position, Monday through Friday. Onsite location will be University Hospital South. As part of the University of Michigan flexible work plan, this position will be hybrid, and candidate will work 2-3 days per week onsite. Travel to support at community event sites in and around SE Michigan may also be required (as part of onsite work) as needed.

    Additional Information

     

    This is a **one year** term-limited appointment with the possibility of an extension based on funding availability. At the end of the stated term, your appointment will terminate, and will not be eligible for Reduction-in-Force (RIF) benefits. This term-limited appointment does not create a contract or guarantee of employment for any period of time as you will remain subject to disciplinary or other performance measures, up to and including termination, at the will of the University in accordance with existing University policy and standards for employee performance and conduct.

     

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
