Our Denver, CO office is seeking an experienced Contracts Administrator.
Position Summary
Assist the Contracts Manager with developing a business process that drives collaboration to effectively manage an Atlas Contracts Management Program to improve business performance and support growth. Support, streamline and be efficient in the management of contracts throughout Atlas, and customer qualification process. Collaborate with Project Managers, Program Managers, Regional, leadership, legal department and executive leadership consistent with the Atlas Authority Matrix. Lead and help Project Managers in negotiating and executing contracts and subcontracts. Review and Redline agreements and Prime agreements. Conducts periodic Contracts and Subcontracts reviews and audits to support continuous improvement of business practices and performance. Develop and provide Contracts and Subcontracts training to support Atlas business needs. This position reports directly to the Contracts Manager.
This position will be located in our Denver, CO Office.
Key Responsibilities:
1. Contract Management: Oversee the entire contract lifecycle management workflow, from initial review and negotiation to contract execution and closure. Maintain an up-to-date and organized contract database, tracking key milestones, deadlines, and contractual obligations. Partners with the legal department, project managers, and senior leadership to make the contract management process more effective and efficient.
2. Review and Analysis: Carefully examine and redline contract terms, conditions, and requirements to ensure clarity, accuracy, and compliance with company policies, Authority Matrix and legal standards. Highlight potential risks and propose suitable mitigation strategies.
3. Negotiation Support: Collaborate with the legal department and project managers during contract negotiations, providing valuable insights and recommendations for favorable terms and conditions that align with the company's interests. Act as a liaison between the legal department, project managers and senior leadership to coordinate review and approval of contracts.
4. Change Order Management: Process and track change orders, amendments, and variations to existing contracts, ensuring timely documentation and communication to all relevant parties.
5. Client Communication: Serve as a primary point of contact for clients regarding contractual matters. Address inquiries, provide clarifications, and manage any contract-related issues that arise during project execution.
6. Customer qualification management: Ensure the accurate and timely administration of vendor/customer certification process , evaluate performance, and manage certification and compliance. Help implement and maintain the Customer qual. program.
7. Risk Assessment: Identify potential contractual risks and participate in risk assessment activities to safeguard the company's interests and reputation.
8. Compliance and Reporting: Monitor contract compliance and adherence to established Atlas policies, procedures and standards, reporting any deviations and recommending corrective actions as needed.
9. Documentation and Filing: Maintain comprehensive and organized contract records, including correspondence, and approvals if necessary.
10. Continuous Improvement: Participate in process improvement initiatives to enhance contract administration efficiency and effectiveness across the organization. Provide training to the operational team and enhance contract management awareness within the company.
Qualifications and Skills:
• Proven experience as a Contracts Administrator or similar role in the AEC industry. Familiarity with State and Federal contracts is a plus.
• Bachelor’s degree in business administration, legal studies, engineering, or related field or relevant experience in a similar role
• Familiarity with electronic contract management software, such as HighQ software, and Deltek preferred.
• Ability to collaborate effectively with multidisciplinary teams and external stakeholders.
• Excels at multi-tasking and has excellent project management, time management and organizational skills.
• Communicates effectively and has strong written and verbal communication skills and interpersonal abilities.
• Sound problem-solving, analytical, and critical thinking skills; accurate and precise attention to detail.
• Ability to deal effectively with and protect confidential information.
• Proficient in MS Office suite (Word, Excel, PowerPoint and Teams)
Working Conditions:
• Ability to perform in a high-stress environment.
• The employee spends most of the time sitting or standing in a comfortable position with ample opportunity to move about.
• Ability to read or interpret data as well as having the capacity to communicate (verbally and written) with both company and outside personnel professionally and effectively.
• Travel may be required.
• There is a strong emphasis on safety while working both in the office and in the field.
Compensation: $85,000 - $115,000 annually
