What We Want
The Program Coordinator II, under general supervision, supports the successful execution of projects within the organization by managing timelines, coordinating cross-functional teams, and ensuring that project deliverables meet established quality standards. Some responsibilities and duties include scheduling meetings, managing bi-weekly team calls, handling meeting and follow-up notes, preparing meeting minutes and action items, supporting the initiation of projects, and managing projects.

Qualifications
Required Education and Experience
+ Bachelor’s degree in business administration, project management, or a related field or equivalent combination of education and experience.
+ 4 years of experience in project coordination, project management, or a similar role.
Required Knowledge, Skills, and Abilities
+ Familiarity with data analysis tools and techniques for project reporting (e.g., Excel, Power BI).
+ Experience in using collaboration platforms (e.g. Microsoft Teams or Slack).
+ Problem-solving skills with a proactive approach to identifying and addressing challenges.
+ Adaptable with ability to work in a dynamic, fast-paced environment.
+ Attention to detail and a commitment to delivering high-quality outcomes.
+ Strong organizational, multitasking, and time management abilities.
+ Excellent communication skills, both written and verbal, with the ability to interact effectively with varying teams and stakeholders.
+ Strong interpersonal skills and a team-oriented mindset.
+ Ability to multitask and work cooperatively with others
Preferred Qualifications
+ Proficiency in project management software (e.g., Smartsheet, MS Teams, or Trello).
+ Project management certifications, such as CAPM (Certified Associate in Project Management) or PMP (Project Management Professional).
+ Ability to obtain State of Texas class "C" vehicle driver license within 30 days of employment.
Responsibilities
+ Project Planning and Scheduling-Collaborates with project managers and team leads to develop detailed project plans, including timelines, milestones, and resource allocation. Ensures alignment with organizational goals and project objectives. Maintains and updates schedules regularly to reflect changes in scope, priorities, or deliverables.
+ Communication and Project Team Coordination- Serves as the primary point of contact for project-related communication, facilitating meetings, and distributing updates to team members and stakeholders. Acts as a liaison between departments to ensure all parties remain informed and aligned. Addresses and resolves communication gaps that may impact project progress.
+ Monitoring Project Progress and Issues- Tracks project progress against established plans and identifies and addresses potential risks or bottlenecks. Works with team members to troubleshoot issues, escalate concerns to the appropriate parties, and propose actionable solutions. Ensures adherence to deadlines and quality standards.
+ Reporting and Documentation-Prepares regular project status reports, including key metrics, progress updates, and identified risks. Maintains comprehensive project documentation, including meeting minutes, action items, and lessons learned, to support transparency and future project planning.
