(You can learn more about us here.) *What is this career opportunity?* General Services Division (GSD) is a dynamic agency comprised of Capitol Facilities Maintenance, Real Property & Leasing, Surplus Property & Recycling, and State Print & Mail. GSD is seeking a Business Coordinator to join their central operations team, at the direction of the Chief of Operations. The ideal Business Coordinator is a highly organized, self-motivated, professional that will support the overall GSD mission of smart stewardship over State assets. This position is responsible for engaging division leadership, analysts, and project managers in order to help synchronize business functions, operational objectives, and digital assets. The Business Coordinator performs a variety of technical and administrative duties within GSD operations, including: • Oversee and support basic business management and accounting functions • Leverage SABHRS modules for research, daily accounting operations, analysis, and reporting • Develop best practices and improve processes that enhance GSD business management and accounting functions to ensure financial stability • Collaborate with other GSD analysts to produce operational reporting and data coordination • Work with GSD project managers and contractors to track receivables and project expenditures • Logistical and/or financial support for division activities (Capitol events, Surplus Garage Sales, etc.) • Policy and Information Knowledge Base administration • Prepare materials for public meetings such as agenda, information packets, minutes, etc. • Records management, including managing the digital share drive, financial records, and enforcing records retention standards according to the schedule set by the Montana Secretary of State • Asset tracking • Support Operations Team peers through cross-training and occasional assumption of other tasks This position offers potential development opportunities including data visualization, an understanding of basic business operations, contract coordination, and information research and analysis.
