Job Title: Office Administrator Department: Administration Supervisor: Manager, HR Administration Summary This position is responsible for the day-to-day workflow and operations of Apex Health Solutions offices and the administration department. This includes employee support, vendor coordination, and various other administrative and clerical tasks. Essential Duties and Responsibilities include the following. Other duties may be assigned. · Direct office activities and functions to maintain efficiency and compliance with company policies · Manage vendor relationships, review and direct invoices, schedule vendor appointments as needed · Oversee office equipment and work with respective departments for troubleshooting, maintenance, and repairs · Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. · Maintain scheduling and event calendars. · Maintain inventory of all office supplies · Ensure smooth operations of all company locations and facilities · Complete forms in accordance with company procedures. · Support executive staff with meeting arrangements, travel booking, schedule coordination and other tasks as needed · Review all travel requests and request approvals · Book travel arrangements for all business travel · Work closely with IT to manage equipment inventory · Review office access and adjust as needed or on a monthly basis · Schedule and coordinate arrangements for meetings and special events · Support executive leadership team as needed · Other duties as assigned Competencies To perform the job successfully, an individual should demonstrate the following competencies: Use of Technology - Demonstrates required skills; adapts to new technologies; troubleshoots technological problems; uses technology to increase productivity; keeps technical skills up to date. Education and/or Experience High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience. Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Computer Skills To perform this job successfully, an individual should have working knowledge of MS Office software.
