    Job Description

    Omni Hotels & Resorts is seeking a dynamic Global Sales Administrative Assistant to provide support for our Global Sales Business Travel & Leisure leadership team. This role provides administrative and operational assistance to maximize the business transient and leisure segments, coordinating sales activities and managing office administration tasks. This role will aid in coordinating sales activities in addition to office administration tasks, including report creation and special projects on behalf of the Global Sales Office members with a special focus on Global & Complex Accounts.

     

    The preferred location is Dallas, TX. Open to remote based candidates if located outside of Dallas, TX.

    Responsibilities

    + Understands hotel sales, business processes; Supports corporate and property goals and contributes to enhancing value to our customers

    + Support 3 Leaders and 4 Global Account Directors in Business Transient Sales along with other associates and/or customers as needed

    + Answer phone calls and emails, send them to the appropriate sales contact or determine and perform the necessary action for incoming communication

    + Daily/weekly client engagement, assisting Directors with client follow up on outstanding items

    + Assess immediate situations and the priority of each; delegate when appropriate and provide independent follow-through as required

    + Maintain all RFPs and sales agreements for each Global Sales Director & Associate Director of Complex Travel Sales

    + Support for GSO Regional Trade Shows, FAMs and Events

    + Collaborate with training and events department on Global Business Transient and Leisure Sales initiatives

    + Coordinate hotel and travel arrangements in Concur

    + Generate reports using Salesforce, SQL, and Power BI, and coordinate with the Sales Program & Analytics team to address needs from the sales

    + Keep minutes for weekly sales meetings and other important meetings

    + Learn and utilize Sales Force, following all the standards for entering sales activity

    + Assist the Global Sales team in the preparation, analysis, and distribution of client-specific month-end and year-end reports, compiling key performance data, metrics, and service evaluations

    + Review and process expense reports and audit invoices for accuracy and ensure timely submittal

    + Serve as the main contact for any coordination, questions, or needs related to the Select Guest program and Marketing initiatives. Assist in managing and communicating special offers and rewards, ensuring timely execution.

    Qualifications

    + 2-4 years of administrative experience preferred

    + Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

    + Experience with Salesforce is a plus

    + Strong preference for those candidates with hotel experience

    + Strong interpersonal skills and the ability to work in a team-oriented environment

    + Strong financial and statistical analysis skills

    + Professional communication skills, including group presentations, both oral and written

    + Must be a team player within the region and contribute positive energy

    + Ability to manage multiple priorities and re-prioritize when necessary

    + Ability to multi-task and stay organized in a fast-paced environment

    + Ability to manage 6 Global Account Directors and the Associate Director, Complex Business Travel Sales with special projects

    + Oversee Outlook inbox for Global Directors when out of office

    Physical Requirements:

    + The ability to sit and utilize telephone/computer for an extended period
