Communications Manager
Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). In lieu of a Bachelor’s degree, an Associate's degree and two (2) years of directly related full-time experience may be considered. Four (4) years of directly related full-time experience (such as experience with publications, presentations, brochures, etc.) Experience working with graphic software, such as Adobe InDesign, Illustrator, or similar software.
Preferred Qualifications:
Advanced degree (foreign equivalent or higher). An additional year of directly related experience including publications, presentations, brochures, etc. Experience with Visio, Adobe Creative Cloud and other graphic programs. Previous experience designing and installing large format signage and graphics. Prior experience with e-Builder.
Brief Description of Duties:
The Communications Manager for the Facilities & Services reports to the Vice President for Facilities & Services. This individual supports the Vice President and all related departments under Facilities & Services, to include Campus Planning, Design, and Construction, Operations and Maintenance and Utilities, as well as other areas. At times, the incumbent will need to represent the department at various meetings, forums, etc. for both internal and external stakeholders. The Communications Manager is expected to remain abreast on industry standards and best practices. Creativity, collaboration, and superior communication and interpersonal skills (both written and verbal) are essential for this role.
+ **Communications Signage:**
+ Research, design, and create standards and recommendations for all signage. Oversee installation of signage. This includes roadway signs, architectural signs, room numbers, and maps, among other types of signage. Review and approve all signage requests. Oversee vendors and work with manufacturers. Create full size samples – hang for display and visual approval. Deliver full service project management services for building signage programs. Arrange timeline for production and installation of all signage. Track and monitor progress of projects, arrange delivery and distribution materials. Create and design certificates, stationary, business cards, banners and other marketing materials as needed for the department.
+ Mapping: Develop and update all current campus and SBU locations maps. Liaise with various departments to coordinate updates Take photos or coordinate with the campus photographer for projects such as graphic designs, university websites, and presentations. Direct all mapping photography and oversee all aerial photography and coordinate the photography and enlargements and prints.
+ Graphics: Responsible for creation and maintenance of graphics. Create visual aids. Interpret CAD maps and create graphic representations. Responsible for maintaining and creating the Facilities & Services website. Interface with the MarCom for final approvals on documents, graphics, etc.
+ Communications: Design and maintain the inventory of University forms and publications for the Division of the Facilities & Services Work with MarCom and Facilities & Services for all correspondence, including press releases, responses to article questions, and any marketing or communications that comes from Facilities & Services. Update website with new, completed and ongoing projects, and create a cohesive area for Facilities and Services. Create/update social media sites with Facilities & Services information
+ **Standards and Compliance:**
+ Ensure tasks in the portfolio are compliance with all government and University campuses standards, to include Southampton. Create and maintain an accessible, University standard, proper use of the information. Liaise with the Office of Equity and Access to ensure that forms and publications are compatible with their OEA requirements. Collaborate with State, County DOT, Suffolk County Department of Public Works regarding University signage standards and procedures. Interface with the Facilities Coordinator on photography to ensure proper project standards are met. Work with the Facilities Coordinator in the production and maintenance of the Electronic sign book. Liaise with Marketing & Communications (MarCom) to ensure the correct usage of the University logo. Consult with, and advise University officials regarding graphics, audience goals, deadlines and public image of the University. Serve on various University committees and professional organization activities and act as liaison between departments.. Act as liaison between departments and production.
+ **Purchasing Prepare and Submit Purchase Requisitions:**
+ Identify vendors, acquire estimates. Review and approve all proofs and artwork from vendors. Sign off on final invoice for receipt of materials and services. Develop Requests for Proposal (RFP) to obtain project specification bids from vendors. Research appropriate vendors Consult with the Procurement Office for bid developments, advertisement, bid tabulation and award.
+ **Other duties or projects as assigned as appropriate to rank and departmental mission.**
Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
