Overview
GENERAL PURPOSE OF POSITION The Donor Relations Coordinator directly supports the fundraising efforts of the Development Department and works alongside the Donor Relations Director (DRD) and the Donor Relations Specialist (DRS) in a highly responsible administrative and resource development capacity. The position requires a high degree of initiative, attention to detail, adaptability, follow-through, and organizational skills, along with professionalism and fundraising insight in communication with key external constituencies. These include Advisory Board members, Major and Mid-Level donors, prospective donors, and business leaders. This requires the ability to perform independently the management and execution of assigned projects, and an ability to understand and consider the implication of various communications. When developing communication efforts to these donors, coordination with Gift Planning, Corporate Relations, Public Relations, the Annual Fund, and Foundations communications is critical.
Responsibilities
ESSENTIAL DUTIES AND RESPONSBILITIES
+ Assist DRD/DRS with donor correspondence, prospecting, data management and research. Discover donor contact and demographic information through the use of internet tools.
+ Process & oversee all Divisional Gifts of Securities/Stock Gifts. Oversee gathering of donor information and communication to all departments as necessary as to the donor and their intention of the gift. Prepare stock acknowledgment letters unless specified by another department. Maintain a record of stock gifts and prompt the DRD/DRS monthly to make thank you calls and to update the acknowledgement letter twice a year. Work with DRD/DRS to send an annual letter to donors updating or reminding them of stock procedures. Keep DRD/DRS updated of any concerns or suggestions regarding this process.
+ Provide stewardship to 1sttime donors and sustaining donors giving at $500+ who are not assigned to a current portfolio. Assist in making phone calls, sending introductory cards, and writing personal notes to donors, assessing if they are Mid-Level or Major donor prospects. Review donors with DRD/DRS monthly.
+ Provide outreach to Corps Officers and assist in gathering information and developing donor engagement pieces/impact reports for different areas across the Division to be used to steward donors.
+ Assist in creating and writing donor acknowledgement letters and year end summaries.
+ Create and maintain systems for tracking and managing data related to Major Giving activity.
+ Maintain accurate and up to date records on Major donors and prospects on DRD/DRS portfolios, as well as constituent management efforts in the Salesforce Database.
+ Work with the Annual Fund Director to ensure accurate and timely Salesforce Gift & Activity Reports. Work to help improve report format and establish mail merge files for donor acknowledgements.
+ Assist DRD/ DRS to document correspondence to include thank you letters, handwritten notes, birthday cards, seasonal cards, year-end receipts and other special mailings as needed.
+ Work with Territorial Research Director to compile donor research, as needed.
+ Support of Divisional Development events specific to donor involvement.
+ Additional responsibilities as requested.
Qualifications
MINUMUM QUALIFCATION AND/OR EXPERIENCE
+ Associate degree or equivalent combination of relevant education and experience.
+ Minimum 3 years fundraising and/or non-profit administrative experience with working knowledge of Donor Relations Customer Service and stewardship activities.
+ Highly organized and strong written and oral communication skills and business skills of data analysis, project management and information systems management.
+ Proficiency in Microsoft Office, Salesforce and online research.
+ Excellent interpersonal skills, able to relate professionally and effectively with key constituencies (both internally and externally), with an ability to handle sensitive situations and confidential information.
+ Ability to work autonomously and as part of a collaborative team.
+ Writing and Editing experience preferred.
+ An understanding of and appreciation for the mission of The Salvation Army.
COMMUNICATES WITH: Donor Relations Director, Donor Relations Specialist, Development Staff, all Divisional Headquarters Departments (including leadership staff), Territorial Headquarters and Trade, Caseload Donors and Prospects, Corps Officers and Staff, Advisory Board Members, outside vendors.
