Undergraduate Academic Affairs has an outstanding opportunity for a Program Manager for Early Career Undergraduate Research to join their team.
Undergraduate Academic Affairs (UAA) shapes, advances and stewards a world-class undergraduate academic experience for students at the University of Washington. Staff, faculty and students in UAA deepen and enrich the learning experience for all undergraduates, recognizing and supporting the unique learning path of each individual student and the commitment of each academic program to excellence in learning and teaching.
Within UAA, the Office of Undergraduate Research plays a critical role in helping undergraduates enrich their academic experience through engagement in exciting, hands-on research with UW faculty and other research mentors. The Office of Undergraduate Research promotes student engagement in research across all disciplines and provides centralized support for undergraduate research at the University of Washington. The Office of Undergraduate Research staff facilitate several undergraduate research programs, host the annual Undergraduate Research Symposium, and help students identify faculty mentors and research goals during advising and informational sessions. We also facilitate workshops for faculty looking to elevate their mentorship practices and create spaces for community building.
The Program Manager, Early Career Undergraduate Research will play a critical role in facilitating the Office of Undergraduate Research’s early career and access work. Most of their work is centered around the management and facilitation of the Undergraduate Research Collective, a two-year program designed to prepare early-career students (first-year, second-year, and first-year transfer students) to engage in faculty-mentored undergraduate research. They will work closely with the Office of Undergraduate Research leadership to ensure early career program sustainability and scalability with the aim of creating high-impact research experiences for first- and second-year UW students. The program manager will engage in relationship building and support the formation of new partnerships to bring the community together to support early career programming. The Program Manager will play a critical role in the Office of Undergraduate Research more broadly by supporting other scholarship review processes, outreach events, and the annual Undergraduate Research Symposium. This position has received funding through June 2026, and there is a possibility for extension based on funding.
**DUTIES AND RESPONSIBILITIES** Program Management & Student Support (60%)
+ Manages the Undergraduate Research Collective, including matching students with mentors, developing and teaching courses, designing and leading workshops, advising, and building community and belonging among the cohort of students.
+ This program runs on a two year cycle so the volume and nature of work related to this program can fluctuate based on the program phase.
+ Serve as instructor of record for academic success courses such as the “Undergraduate Research Collective Seminar 1” and “Undergraduate Research Collective 2” up to two times per academic year. These courses promote academic success by facilitating students’ engagement in their own learning. Specifically, the purpose of this course(s) is to ensure that students are better able to describe at least three pathways into research, set personal and professional goals related to undergraduate research, and describe how a typical research lab or team is structured and operates. Teaching this course is a part of this position’s regular duties, does not authorize excess compensation, does not require nor confer a faculty title, and is subject to UWHR policies (e.g., student complaint resolution).
+ Leads Undergraduate Research Collective evaluation, including analysis and communication of findings to our team and key stakeholders
+ Leads refinement of Undergraduate Research Collective marketing and recruitment, the application and selection process, seminar curriculum and workshops, mentor support, and other aspects of program design, as needed
+ Leads engagement with Undergraduate Research Collective alumni and peers (e.g. peer or alumni mentorship, LinkedIn page, newsletter, etc.)
+ Supports Undergraduate Research Collective mentorship training and community building for faculty and other research mentors
+ Fosters relationships with research centers, departments, campus partners, faculty members, and local organizations that may be interested in supporting or growing the Undergraduate Research Collective
+ Engages in grant writing to sustain and scale the Undergraduate Research Collective
+ Engages in strategic planning for sustainability and scalability of Office of Undergraduate Research early career programming
+ Participates in review committees for other Office of Undergraduate Research programs, including the Washington Research Foundation (WRF) Fellowship and the Levinson Emerging Scholars ProgramEvent Planning & Outreach (15%)
+ Assists in planning and facilitation of the Undergraduate Research Symposium, under the direction of the Office of Undergraduate Research leadership team
+ Assists, and occasionally leads, the coordination of Office of Undergraduate Research workshops and outreach events
+ Contributes to the functioning of the Center for Experiential Learning and Diversity (EXPD) and Undergraduate Academic Affairs (UAA) through active collaboration with colleagues and participation in events, committees, etc., as neededAdministrative Responsibilities (15%)
+ Manages the Undergraduate Research Collective website, supports other Office of Undergraduate Research website updates and email management
+ Supports budget planning for Undergraduate Research Collective sustainability and scalabilitySupervision (5%)
+ Hire, onboard, supervise, and promote the professional development of student employees as neededProcurement (5%)
+ Use UW ProCard to support procurement for day-to-day operations, programs, and events
+ Reconcile purchases weekly, maintain up-to-date records of spending and required documentation in budget files **MINIMUM REQUIREMENTS**
+ Master’s degree in any academic field
+ One year or less of experience in student support services, advising, or program support _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._ **DESIRED QUALIFICATIONS**
+ Experience in undergraduate research program development
+ Research experience in an academic field and experience presenting at a professional conference
+ Experience advising students on undergraduate research and/or academic programs
+ Experience writing proposals for funding
+ Excellent communication and interpersonal skills
+ Strong project management and organizational skills
+ Demonstrated initiative and the ability to work independently and with flexibility on a team
+ Experience with marketing programs to students
