Description We are looking for a highly organized and resourceful Administrative Coordinator to join our team in Mt. Pleasant, South Carolina. This long-term contract position offers an opportunity to support various functions within our organization, including project coordination, vendor management, scheduling, and database maintenance. The role requires someone who thrives in a fast-paced environment, excels in multitasking, and is committed to delivering exceptional administrative support.
Responsibilities:
• Coordinate schedules and meetings across multiple teams, ensuring smooth communication and timely follow-ups.
• Manage vendor relationships and oversee onboarding processes, including background checks and compliance documentation.
• Assist with marketing initiatives by updating reports, posting job descriptions, and sending mailers.
• Maintain and update database systems, such as Salesforce, to ensure accurate records of candidates and clients.
• Organize candidate presentations by compiling resumes, scheduling interviews, and managing feedback sessions.
• Collaborate with Account Managers and Recruiters to support daily operations and project requirements.
• Prepare detailed quarterly and annual reports to aid organizational planning and performance tracking.
• Handle invoicing, contracts, and other administrative tasks related to client and candidate processes.
• Provide exceptional customer service while answering inbound calls and addressing inquiries.
• Support budget processes and ensure alignment with organizational goals. Requirements
• Minimum of 2 years of experience in an executive assistant, senior administrative, or project coordinator role.
• Exceptional organizational skills with the ability to prioritize tasks and manage time effectively.
• Strong communication skills and attention to detail.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
• Familiarity with Salesforce or similar CRM systems is strongly preferred.
• Ability to multitask and adapt to shifting priorities in a dynamic environment.
• Self-motivated and capable of working independently with minimal supervision.
• Proven ability to coordinate meetings, schedules, and collaborative efforts across diverse teams.
