The Operations Coordinator is responsible for the management of business office activity. This position involves knowledge of all computer software, which may be utilized in daily operations. Responsible for providing clerical support to the infusion center. Clerical functions to include but not limited to: reception, registration, scheduling, billing, processing and distribution of mail, and the forwarding of information and reports. Assistance in maintaining medical records in a confidential manner.
The Operations Coordinator should also be prepared to work on special assignments as requested by practice leadership and keep leadership up to date with daily occurrences in the office. The Operations Coordinator will also be responsible for any other additional duties assigned by the practice leadership team.
EDUCATION AND EXPERIENCE REQUIREMENTS:
+ Education: Associate degree and/or three to five years’ administrative experience in a hospital or healthcare setting preferred
+ General understanding of healthcare regulatory bodies is preferred.
+ Articulate, outgoing and able to work under deadlines, detail oriented, organized, and able to successfully multi-task.
+ Proficient in Microsoft Office software (Word, Excel, PowerPoint, Teams).
+ Excellent interpersonal skills with proven success working within a team.
+ Ability to work in a fast-paced and sometime unpredictable environment; works well under pressure and tight deadlines.
+ Self-motivated and possess high ethical standards with confidentiality and in accordance to HIPAA regulations
RESPONSIBILITIES OF THE POSITION:
+ Schedules patient appointment both in the practice setting and collaborates with other departments and offices to schedule patient appointments outside the practice setting
+ Build a relationship with patients, families and physicians and coordinates the treatment plan including appointments, tests and procedures.
+ Communicates and coordinates with external organizations and Internal departments to ensure that patients and families are actively involved in care planning
+ Obtains necessary precertification/authorization for tests, procedures and other applicable items
+ Obtains necessary information and makes it readily available for the Physician, this information includes office, OR and PAT records, labs, blood work and imaging and
+ Prioritize workload and performs tasks accurately and efficiently.
+ Communicates and collaborates with Physicians, Patients, Office Staff and Hospital Staff.
+ Provides feedback and listens effectively
+ Prioritizes customer service
+ Maintain a clean and safe environment consistent with regulatory and patient safety principles
+ Will demonstrate self-development and participate in provision of safety practices for themselves and other members of the health care team.
+ Serve as customers’ single point of contact for non-medical issues.
+ Coordinates the resolution of any customer billing issues or concerns with an account management specialist.
+ Returns customer calls or emails in a timely manner.
+ Adheres to hospital policies and procedures related to mandatory education and annual health assessment.
+ Performance of electronic medical record (EMR) duties.
+ Performance of care team duties and all other duties as assigned
PHYSICAL REQUIREMENTS
The position is located indoors under normal working conditions. Should be able to push/pull 25 lb., lift/move 15 lb. from floor to table, be able to perform moderately difficult manual manipulations such as using a keyboard, writing and filing, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photocopiers. Mobility requirements may include the ability to sit at a computer terminal or workstation for a prolonged period of time in addition to being able to squat, stand and walk for a reasonable length of time and distance.

Salary Range: $ 24.75-36.53 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
