    Job Title: Senior Accounts Receivable (AR) Specialist

    Job Overview:

    We are seeking a detail-oriented and experienced Senior Accounts Receivable Specialist to join our growing team. Based onsite at our office in Mountain View, this role requires expertise in the end-to-end AR process, strong analytical skills, and the ability to work collaboratively across various departments. The ideal candidate will have a proven track record of managing accounts receivable functions, driving process improvements, optimizing cash flow, and ensuring accurate and timely collections.

    Key Responsibilities:

    Accounts Receivable Management:

    + Oversee and manage the full-cycle accounts receivable process, including billing, invoicing, cash applications, and collections.

    + Monitor accounts to ensure balances are accurate, current, and aligned with company policies.

    + Vendor relationship management

    Invoicing and Billing:

    + Review and generate accurate customer invoices based on established terms and agreements.

    + Resolve billing discrepancies in collaboration with internal teams and customers.

    Collections and Follow-Up:

    + Develop and implement strategies to ensure timely collections while maintaining positive relationships with customers.

    + Follow up with clients on delinquent accounts, and initiate escalations when necessary.

    Reporting and Reconciliation:

    + Reconcile accounts receivable sub-ledger to the general ledger at month-end and prepare related journal entries.

    + Prepare aging reports, collection forecasts, and cash flow projections for leadership.

    Process Improvements:

    + Identify and implement improvements to enhance AR processes, streamline workflows, and ensure compliance with company policies.

    + Leverage ERP systems and automation tools to improve accuracy and efficiency.

    Compliance and Audits:

    + Ensure compliance with company policies, contractual agreements, and relevant regulations.

    + Support internal and external audit requests by providing necessary documentation and analysis.

    Collaboration and Partnership:

    + Work closely with other departments, including sales, customer service, and accounting, to resolve client disputes and improve overall AR processes.

    + Provide training and mentorship to junior AR team members as needed.

    Requirements

    Qualifications:

    + Education:

    + Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.

    + Experience:

    + Minimum of 3-5 years of progressive accounts receivable experience, with at least 2 years in a senior or lead role.

    + Technical Skills:

    + Proficiency in ERP systems (e.g., NetSuite, SAP, or Oracle) and integration tools is required.

    + Advanced skills in MS Excel, including pivot tables, formulas, and VLOOKUPs.

    + Familiarity with collections management systems is a plus.

    + Soft Skills:

    + Strong communication and negotiation skills.

    + High attention to detail with the ability to work independently and stay organized.

    + Problem-solving mindset and eagerness to take ownership of complex challenges.

    + Knowledge:

    + Deep understanding of GAAP and AR processes, including cash applications, credit memos, and revenue recognition principles.
