Description
We are looking for a highly organized and proactive Executive Assistant to join our growing team in Miami, Florida. In this role, you will support executive operations, manage administrative tasks, and contribute to the success of a global trading firm. This is a unique opportunity to grow into a leadership role as the company expands.
Responsibilities:
• Coordinate and manage executive calendars, ensuring seamless scheduling of meetings and events.
• Organize and oversee domestic and international travel arrangements for executives, ensuring smooth logistics.
• Handle day-to-day administrative tasks, including office management and basic bookkeeping responsibilities.
• Collaborate with vendors and manage vendor relationships to ensure efficient operations.
• Prepare and deliver detailed presentations to support business development efforts.
• Assist in budget planning and capital management processes to align with company goals.
• Utilize ERP systems to streamline and manage business operations effectively.
• Support leadership during high-demand periods, such as the first and last weeks of the month.
• Contribute to the development and execution of strategic business initiatives.
• Provide administrative support to the founder and executive team, ensuring smooth daily operations.

Requirements
+++MUST HAVE FINANCIAL SERVICE INDUSTRY EXPERIENCE+++
• Minimum of 7 years of experience in a similar role, with a strong track record of success.
• Proficiency in ERP systems and familiarity with enterprise resource planning tools.
• Strong skills in budget processes and financial management.
• Experience coordinating domestic and international travel arrangements.
• Competence in basic bookkeeping and office management tasks.
• Advanced proficiency in Microsoft Excel and presentation software.
• Excellent organizational and multitasking abilities, with a keen attention to detail.
• Ability to manage vendor relationships and negotiate effectively.
