Description

We are seeking an Accounts Receivable Representative to join our team. The person in this role will be responsible for maintaining accounts receivable duties efficiently and ensuring accurate financial transactions within the organization.

Duties:

-Work directly with our customers to answer questions about their account, invoices, sales orders

-Oversee set up of new and update of existing customer accounts in Sage 100

-Complete all paperwork required by our customers including but not limited to W-9's, new vendor packets, online payment processing and lien releases

-Complete various online applications for US Government and private sector jobs

-Set up and maintain online customer portals for order invoicing

-Assign and enter rep commissions as appropriate for all orders

-Confirm accurate paperless account settings for customer receipt of all invoices

-Review orders that have shipped for accuracy; generate invoices

-Review online banking and record all deposits to the correct customer/gl accounts

-Record and deposit all check payments and take deposits to our bank

-Record all credit card payments

-Record all rent payments and maintain rental income spreadsheet

-Maintain accurate balance in escrow account and spreadsheet for incoming payments and outgoing orders. Let correct department know of all incoming prepayments received

-Process RGA credits upon approval from Company President

-Research and rectify credit issues/questions

-Review weekly AR aged invoice report and reach out to customers who are past-due to collect older balances

-Place customers on credit hold as necessary to prevent orders from shipping to customers with past-due balances

-Escalate critical accounts/orders to department heads and sales reps as necessary

-Backup for incoming phone coverage

-Backup for payroll for approximately 80 employees

Requirements

+ Proficiency in Accounting Principles:

+ Demonstrated understanding of fundamental and advanced accounting concepts as they relate to financial obligations, invoicing, and revenue tracking.

+ Experience in Accounts Receivable Tasks:

+ Proven experience managing accounts receivable processes, including generating and sending invoices, ensuring timely payments, resolving payment discrepancies, and maintaining accurate records.

+ Strong 10-Key Typing and Data Entry Skills:

+ Expertise in using 10-key touch systems for high-speed and accurate numeric data entry, integral to managing large volumes of financial data.

+ Analytical Abilities in Account Review:

+ Ability to analyze account statements, credit memos, and payment patterns to identify irregularities or resolve account issues efficiently.

+ Knowledge of Account Analysis Techniques:

+ Familiarity with standard methods for account analysis, including reconciling ledger balances and ensuring accurate allocation of payment receipts.

+ Exceptional Attention to Detail:

+ Strong focus on maintaining precision in financial data and ensuring compliance with accounting regulations and company policies.
