Direct Care and Treatment (DCT) is seeking an individual to join the DCT Data Privacy Office for an exciting and rewarding opportunity as a Records Coordinator! As the Records Coordinator, you will provide administrative support to attorneys with a focus on operational efficiency and alignment with strategic goals. This role is critical in ensuring compliance with records management practices, streamlining workflows, and assists with data requests, rulemaking, and litigation coordination.
Primary responsibilities:
+ Oversee workflow management and reporting system management to enhance operational efficiency and ensure compliance with state and federal regulations.
+ Provide operational oversight and support for DCT’s public data request and e-discovery process.
+ Assist in managing the rulemaking budget, consulting on legal opinions, and ensuring adherence to documentation standards and public participation requirements throughout the rulemaking process
+ Assist with project assignments related to internal compliance and records management practices
+ Provide operational support for Executive Board meetings, executive tasks, compliance, and Open Meeting Law, as applicable

Minimum Qualifications

One (1) year of experience providing records and data management functions for an organization, which demonstrates the following:
+ Developing, overseeing, and facilitating work groups and teams that create and implement action plans.
+ Collaborating with multiple stakeholders to implement changes and improvements using strategic planning, change management, continuous improvement principles, and project management skills.
+ This position requires a strong understanding of state and federal laws and rules as they pertain to data practices. The candidate must also be familiar with the formal principles of government records management, including the nature of government records and the rules associated with their lifecycles, as outlined in document schedules.
+ Creating and delivering various technical assistance tools, resources, and training. The ability to generate precise, high-quality, and timely tools, training, technical assistance, and policy and procedure documents.
+ A high level of people skills and the ability to communicate in a highly professional manner, both orally and in writing
+ Experience working in electronic records management and understanding information management practices
+ Microsoft Windows and Microsoft Office, including Word, PowerPoint, Excel, Outlook, and SharePoint.
Preferred Qualifications
+ Proven experience leading and managing complex projects related to records management systems, retention schedules, legal holds, or data privacy compliance.
+ Certified Records Manager, Certified Records Analyst, Information Privacy Professional, or Paralegal certificate.
+ Strong understanding of. Public records laws (e.g., Minnesota Government Data Practices Act, FOIA, HIPAA) and their integration with records management practices.
+ Proven ability to manage cross-functional teams and work with legal counsel, IT staff, and other internal stakeholders to ensure the success of records management and compliance projects.
+ Familiarity with data security protocols for sensitive information and compliance with privacy laws.
+ Ability to work across departments and with external stakeholders to ensure successful project completion and compliance with legal and regulatory requirements.
+ Ability to proactively address and resolve challenges in records management projects, including legal compliance, e-discovery, and public records requests.
+ High precision when reviewing and managing documents, ensuring compliance with retention schedules, privacy laws, and legal obligations.
