Join the Texas A&M College of Medicine (http://medicine.tamu.edu/) as a Faculty Affairs Program Coordinator I! In this role, you will work collaboratively with College Departments/Units to coordinate the faculty recruitment program which includes efficient approval, advertising, recruitment, and onboarding of faculty in the College of Medicine.

Opportunities to Contribute
+ Streamline and support the entire faculty hiring process by collaborating with all College Departments/units, managing position approvals, advertisements, offer letters, hiring paperwork, onboarding, documentation, training, communications, and records retention.
+ Coordinate faculty appointments and actions by collaborating with various College units, ensuring accuracy, timeliness, and efficiency in reappointments, adjunct and courtesy appointments, administrative appointments, and track changes.
+ Lead and maintain the College faculty database by providing accurate lists of current faculty, regularly updating data, and collaborating with Departments to migrate files to Faculty OneFile (VPFA).
+ Supervise student workers to consolidate faculty files into Faculty OneFile and maintain the College of Medicine Office of Faculty Affairs SharePoint site.
+ Maintain and update the College of Medicine Office of Faculty Affairs SharePoint site with templates and clear processes and collaborate with Marketing and Communications to ensure the website is informative for faculty and staff.
Minimum Qualifications
+ Bachelor’s degree or equivalent combination of education and experience
+ Two years of experience in program coordination or related areas
The well-qualified candidate will also possess
+ Knowledge of word processing and spreadsheet applications
+ Effective verbal and written communication skills
+ Strong interpersonal, leadership, problem solving, and organizational skills
+ Maintains attention to detail and utilizes sound judgment
+ Ability to multi-task and work cooperatively with others in a high throughput environment

Responsibilities
+ Faculty Hiring: Works collaboratively with and provides support to all College Departments/units to streamline the entire faculty hiring process, including (but not limited to) position approvals, posting advertisements, offer letters, hiring paperwork requirements, and onboarding. Creates, implements, and posts (on Intranet) documentation that outlines a clear process for faculty hiring documents, steps, offices/positions involved, etc. Tracks all faculty hires and assists with college-wide combined advertisements. Proofreads all faculty job advertisements and all faculty offer letters. Plans and develops trainings on faculty hiring process for department administrators. Coordinates all communications regarding faculty hiring process to stakeholders. Develops, creates and maintains faculty templates and other training materials for departments. Coordinates and reviews applications in Interfolio and the VPFA workflow portal. Maintains records retention for college-level faculty. Coordinates the maintenance of files, records and faculty hiring documents. Responds to inquiries regarding the College of Medicine Faculty job openings.
+ Employed Faculty Re-Appointments and Faculty Actions: Works collaboratively with various College units, including Finance and individual departments, to ensure that that annual reappointment letters are accurate and timely. Works collaboratively with Departments, Finance, and various College units to coordinate adjunct appointments, courtesy appointments, administrative appointments, track change (e.g., APT to tenure track), and other faculty actions. Creates, implements, and posts (on Intranet) documentation that outlines a clear process for faculty adjunct appointments, courtesy appointments, administrative appointments, track change (e.g., APT to tenure track), and other faculty actions. Plans and performs trainings for the school and departments, as directed.
+ Current Faculty Data Maintenance: Serves as lead on College faculty database maintenance.
+ Provides accurate lists of current faculty, and other associated data, as requested by the College, University, external accreditors, ranking groups, etc. Regularly reviews and updates faculty database to ensure accuracy. Work collaboratively with Departments and College to help migrate faculty files to Faculty OneFile (VPFA).
+ Student Worker Supervision: Supervise student worker to consolidate faculty files into Faculty OneFile. Supervise student worker to maintain College of Medicine Office of Faculty Affairs SharePoint (Intranet) site.
+ SharePoint/Website Development: Maintains College of Medicine Office of Faculty Affairs SharePoint site (Intranet), which contains templates for hiring and faculty actions, clear and concise processes, etc. Works with College of Medicine Marketing and Communications to ensure that the Office of Faculty Affairs website is updated and contains useful information for College faculty and staff.
