Description We are looking for an Administrative Coordinator to join our team in Boca Raton, Florida. This Contract-to-Permanent position offers an exciting opportunity to support high-level executives with day-to-day administrative tasks while contributing to the success of a dynamic advertising organization. The ideal candidate will be organized, forward-thinking, and capable of managing multiple priorities with confidence and attention to detail.
Responsibilities:
• Provide comprehensive administrative support to executive leadership, including the CEO and President.
• Manage complex calendars, schedule meetings, and coordinate domestic travel arrangements, including private flights.
• Serve as a reliable point of contact to represent the executives in communications and interactions with internal and external stakeholders.
• Assist with budget tracking and financial processes using tools like ADP and Concur.
• Handle inbound calls and correspondence with a courteous and detail-oriented demeanor.
• Ensure smooth coordination of daily operations by anticipating needs and proactively addressing challenges.
• Maintain and organize records, documents, and CRM systems to support efficient workflow.
• Collaborate on projects related to advertising campaigns, including tasks such as managing banner ads and presentations.
• Utilize technology platforms, including Cisco Webex Meetings, to support remote communications and virtual events.
• Embrace opportunities for growth by learning new tools and processes as needed. Requirements • Minimum of 1-3 years of experience in an administrative or executive assistant role, with up to 5 years preferred.
• Proficiency in managing calendars, scheduling travel, and using relevant software tools such as ADP and Concur.
• Strong communication skills, both verbal and written, with an ability to represent executives professionally.
• Tech-savvy with experience using CRM systems and platforms like Cisco Webex Meetings.
• Excellent organizational skills, with the ability to handle multiple priorities and anticipate needs.
• Ability to think critically and independently, offering solutions and improvements proactively.
• A flexible and adaptable mindset, eager to learn and grow within the role.
