Description We are looking for a dedicated and detail-oriented Medical Administrative Assistant to join a dynamic healthcare team in Norfolk, Virginia. This long-term contract position offers an opportunity to support the vital operations of a laboratory within a leading medical facility. The ideal candidate will excel in organizing administrative workflows, handling sensitive medical documentation, and ensuring seamless communication within a healthcare environment.
Responsibilities:
• Provide comprehensive administrative support to laboratory staff, researchers, and leadership, ensuring smooth daily operations.
• Organize and manage schedules, appointments, and meeting arrangements, including virtual and in-person coordination.
• Process invoices, reimbursements, and purchase requests, adhering to established hospital policies.
• Input and maintain accurate data related to laboratory workflows, supply inventory, and budget tracking.
• Prepare, proofread, and distribute various reports, protocols, and research documents as needed.
• Safeguard sensitive patient and research documentation, ensuring strict compliance with confidentiality standards.
• Act as the primary point of contact for inquiries, correspondence, and internal communications.
• Monitor laboratory supply levels and coordinate with vendors to ensure timely procurement within budget constraints.
• Maintain both physical and electronic filing systems to support audit readiness and operational efficiency.
• Assist in ensuring compliance with organizational and regulatory standards in all administrative processes. Requirements • Minimum of two years of transcription experience in a medical setting.
• Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) and relevant healthcare or laboratory software.
• Strong organizational skills with exceptional attention to detail to manage multiple tasks effectively.
• Excellent written and verbal communication abilities for interacting with diverse stakeholders.
• Previous experience in a healthcare, research, or laboratory environment is highly preferred.
• Familiarity with medical or research terminology is an advantage.
• Experience with EHR systems and medical transcription is required.
• Knowledge of Cerner PathNet or similar systems is a plus. TalentMatch®
