Job Title: Accounting Administrator
Job Description
We are seeking a dedicated Accounting Administrator to support our office by handling accounting, bookkeeping, and clerical duties, while also assisting the seven salespeople in our team. This role is pivotal to ensuring the smooth operation of our office, acting as the central support for finance and administrative tasks.
Responsibilities
+ Manage the service accounts receivable processes, including maintenance, repair and billable invoicing, credit memos, and credit card payment vouchers.
+ Provide statements for customers, manage unapplied cash/credits, and collaborate with corporate finance to resolve AR issues.
+ Maintain customer billing info including invoice settings, contacts, purchase/work orders, billing rates, and discounts.
+ Generate monthly construction pay applications and waivers, enter billings into Vision and customer portals if applicable, and maintain accounts receivable ledgers.
+ Manage accounts payable process, research purchase orders, maintain packing list and invoice files, coordinate invoice approval, and route to corporate AP department.
+ Handle day-to-day administrative functions ensuring compliance with corporate processes and local branch procedures.
+ Manage service dispatching, create callback and preventative maintenance tickets.
+ Maintain records for company vehicles, drivers, auto claim reports, fuel cards, and toll passes.
+ Follow corporate processes for injury and liability claims reporting and compile yearly OSHA reports.
+ Ensure office equipment maintenance.
+ Order office supplies, business cards, mobile phones, service uniforms, and office badges if applicable.
+ Manage branch filing systems including electronic files.
+ Maintain contact with customers, outside vendors, and corporate headquarters.
+ Conduct research, compile and generate reports.
+ Coordinate branch facility maintenance and repairs as needed.
Essential Skills
+ 1-3 years of experience in payroll handling, invoicing, and office support.
+ Proficiency in Excel, including navigation and basic formula creation.
+ Experience in data entry, office management, customer service, administrative support, bookkeeping, accounts payable, and clerical tasks.
Additional Skills & Qualifications
+ Experience in manufacturing, construction, or a similar industry is a plus.
+ High school diploma.
Work Environment
The role requires full-time onsite work from Monday to Friday, with options to work from 8am to 5pm or 7am to 4pm. You will be working closely with seven salesmen and sit at the front desk of the office, fostering a family-like atmosphere.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
