Role Summary: The Director of Administrative Services with the support of the VP of Administrative Services is
responsible for planning, directing, and overseeing the daily operations of administrative functions within the organization.
This leadership role ensures the efficiency, effectiveness, and compliance of administrative processes including office
management, agency purchasing, and the Transportation department. They will also focus on optimizing workflows and
processes within the organization, potentially recommending changes to policies or procedures to enhance efficiency. The Director works closely with senior leadership to align administrative operations with organizational goals.
Role Responsibilities:
• Oversees all aspects of the Administrative Assistant Department and mailroom by ensuring support is provided
internally across all departments.
• Oversees purchasing department, including processing and tracking purchasing requests, researching
competitive prices, vendor relations and negotiations, clearing 3rd parties through OMIG, and reconciling past
purchases.
• Develops and implements administrative policies, systems, and procedures to improve operational efficiency.
• Manages administrative budgets and ensures cost-effective resource allocation.
• Supervises, mentors, and evaluates administrative staff, handle recruitment, training, and performance
management.
• Prepares reports and presentations for executive leadership as needed.
• Develops, implements and monitors Key Performance Indicator (KPI) data points
• Creates and maintains Administrative Services calendar.
• Reviews and approves timesheet to ensure accuracy.
• Manages existing and new vendor accounts for ordering and approval.
• Assists with capital projects from an administrative standpoint
• Acts as a liaison with community partners to provide educational opportunities for the agency.
• Oversees all aspects of the Transportation department, including safety, fleet management and route efficiency
Salary 80,000-90,000 year
Requirements
Bachelor’s degree in Business Administration or related field
• 7+ Years of relevant work experience (administrative, purchasing, special projects)
• 5+ Years of supervisory experience
• Extensive knowledge of Microsoft Office applications
• Valid NYSDL
Monday-Friday 8am-4pm
