    The Bureau of Field Operations is responsible for the survey and certification process of health care facilities across the State of Florida.

     

    These surveys ensure that all state licensed, and federally certified health care facilities meet the established state and/or federal requirements and patients and residents receive safe, quality health care.

     

    Field Operations staff also ensure the safety of residents in health care facilities when emergencies such as natural disasters occur.

    The Work You Will Do:

    This position performs independent work handling the daily administrative and operational functions under the supervision of the Field Office Manager.

     

    The person is responsible for a variety of assignments that require special research, coordination within the office, and in some situations, confidentiality is involved.

     

    The incumbent must acquire and maintain knowledge about the functional responsibilities of the office, AHCA rules, regulations, and procedures that affect office management practices, as well as specific responsibilities of Bureau of Field Operations Management.

     

    Enter facility inspections into ASPEN and AEM.

     

    Reviews, corrects and ensures correct database entries supporting the licensure and certification programs.

     

    Tracks draft survey kits and prepares kits for supervisory review prior to mailing completed survey reports to providers.

     

    This system includes final copy to provider, entry into VERSA, documenting receipt of plan of correction from provider, processes survey kits for certification and state licensure surveys and prepares completed packets and scans into Laserfiche for uploading in Central Office.

     

    Composes and prepares correspondence regarding regulation of facilities and other licenses.

     

    Assists and serves as backup to the personnel liaison.

     

    To include: the implementation of personnel policies and procedures as they relate to field office operations. Assists field office staff with administrative/human resources related questions.

     

    Prepares and submits hire packages, separation paperwork, position advertisements, and updates position descriptions as needed.

     

    Ensures required documentation is collected and submitted for processing, schedules interviews, ensures all field office staff contact information is updated in personnel files and COOP records.

     

    Maintain efficient filing system for both electronic and hard copy documentation related to personnel files.

     

    Periodically review files for purging, archiving, electronically scanning/storing, and maintain other controls as needed.

     

    This includes coordinating the advertisements through People First, arranging an interview schedule for supervisory review of potential candidates and submission of hiring material according to policy.

     

    Prepares and submits electronic Personnel Action Requests (ePARs) for area office and handles other confidential correspondence.

     

    Completes general office duties, gathers information for public records requests and answers multi-line phone.

     

    Arranges through MyFloridaMarketPlace, purchasing of office supplies, obtain maintenance contracts of office equipment for comparison and supervisory review.

     

    Submits purchasing data timely and periodically completes required inventory of equipment as directed by policy.

     

    Performs other duties as assigned.

     

    This position has been identified as mission essential.

     

    The incumbent in this position may be required to work during the weekend or on holidays.

     

    In addition, mission essential personnel will be required to work during disasters, to include but not limited to, work before, during and/or beyond normal work hours or days in the event of an emergency.

     

    Emergency work may involve the incumbent to work in another county or staffing location to assist other State Agencies with emergency work.

     

    Emergency duties may include, but limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

     

    A good attendance record is essential for any individual in this position as the work involved occurs daily and is time-critical. The individual in this position is expected to report to work daily and on time. Leave must be requested in advance except in emergency circumstances not under the control of the employee.

    MINIMUM QUALIFICATIONS REQUIREMENTS

    Two (2) years of professional or nonprofessional experience in administrative work with Microsoft Office and computer data entry.

     

    A college degree from an accredited institution can substitute for the required experience.

     

    Experience in specific software applications: Automated Survey Processing Environment (ASPEN), Laserfiche, Versa Regulation, Microsoft Office (Word, Excel, Access, and Outlook), CorrFlow, and CASPER is preferred.
