    Job Title – Coordinator – Engineering & Maintenance

     

    Division: Operations

     

    Reports To: Head of Engineering and Maintenance

     

    Shift: 1st shift: 7am-4pm

    What You Will Learn:

    This position is responsible for providing administrative support to the Engineering and Maintenance team. Including scheduling and coordinating meetings and events, completing expense reports, preparing for various site visits and audits, as well as involvement with employee events and activities.

     

    • Routing CAPEX approvals (CERS) through salesforce with information provided by the technical team.

    • Managing Purchase Orders for parts and services, office supplies, and other ordering responsibilities for various departments.

    • Organize documentation to keep records and be ready for audits.

    • Preparing PowerPoint presentations, memos, letters, agendas, meeting minutes, etc.

    • Organizing travel arrangements and preparing travel and expense reports.

    • Arranging meetings including the coordination of attendees, booking location and time, arranging meals and materials.

    • Assisting in the scheduling and coordination of Employee Events throughout the calendar year. Coordinating various Human Resources related tasks (ex. Birthday cards/Flowers). Distributing broadcast announcements and updating bulletin boards.

    • Manage vendor relationships for various employee services.

    • Provide support to other departments and manage special projects.

    What We Are Looking For:

    Required Qualifications:

    • Bachelor’s Degree or 5+ years of administrative experience required.

    • Exceptional organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks simultaneously.

    • Intermediate level computer skills including proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Salesforce and SAP. Experience with maintenance management software or project management tools is a plus.

    • Ability to work effectively as part of a team and contribute to a positive work environment.

    • Strong interpersonal skills with the ability to manage at all levels of the organization in a professional manner.

    • Excellent written and verbal communication skills, with the ability to interact effectively with all levels of personnel.

    • Ability to manage multiple tasks simultaneously while maintaining priorities and meeting commitments.

    • Ability to work independently with a high sense of urgency.

    • Must be able to act with discretion and maintain strict confidentiality of sensitive information.

     

    Must be able to work overtime
