The UW Tacoma School of Social Work and Criminal Justice has an outstanding opportunity for a CWTAP Program Coordinator (NE S SEIU 925 Non Supv) to join their team.
The UW Tacoma School of Social Work and Criminal Justice (SSWCJ) serves both graduate and undergraduate students, offering a Master of Social Work degree and a Bachelor of Arts in Social Welfare and a Bachelor of Arts in Criminal Justice. In addition, the SSWCJ offers an online degree completion option in criminal justice and is the only fully online major campus-wide. The Child Welfare Training and Advancement Program (CWTAP) within the School of Social Work and Criminal Justice has an outstanding opportunity for a PROGRAM COORDINATOR. This individual will report to the Program Operations Specialist and provide support to the Director, Program Operations Specialist and the Field Instructors (FIs) who are out stationed at 7 practicum sites which are located at the Department of Children, Youth and Families (DCYF) Child Welfare Program offices in Bremerton, Shelton, Tumwater, Lakewood, Parkland, Puyallup and Tacoma.
This position will share time between the UW Tacoma (UWT) and the Tacoma DCYF office (or one of the other 6 DCYF offices may be negotiated), however the position will provide support to all of the designated CWTAP DCYF offices. This position has extensive involvement with students, staff, grant partners and the public in conducting program activities.
An ideal candidate will be highly organized and detail oriented. They must take initiative and have the capacity to critically and proactively manage multiple tasks and meet deadlines. This candidate will be responsible for assisting the Program Operations Specialist in managing the day-to-day operations of CWTAP.
**DUTIES AND RESPONSIBILITIES** Program Recruitment/Admittance
+ Administer several CWTAP Information Sessions throughout the year for prospective Masters of Social Work (MSW) and Bachelors in Social Welfare (BASW) students.
+ Coordinate the CWTAP program application/admittance process for MSW/BASW students throughout the year.
+ Thoroughly understand the terms and scope of the CWTAP Participant Agreement in order to meet with all admitted MSW/BASW students to guide them through the agreement, answer questions, and secure signed agreements.
+ Co-manage the planning and delivery of the annual Student Institute conference, which typically hosts 140 – 170 attendees.
+ Assist with other CWTAP and SSWCJ events such as CWTAP graduation event, Hooding, etc.CWTAP Relationships, Communications, and Outreach
+ Build and maintain effective and collaborative relationships with UW Tacoma units, DCYF, other CWTAP schools, tribal, and community partners.
+ Assist in the development of new publications for marketing purposes in partnership with UW Seattle and Eastern Washington University CWTAP programs. Ensure accuracy of written materials and website and that updates are made as needed.
+ Answer inquiries, provide information, and independently advise students, DCYF staff and the general public regarding CWTAP activities, programs, and policies.Office Operations
+ Manage the logistics of monthly offsite student educational seminars. Collaborate with Director, Program Operations Specialist and FI’s when needed.
+ Plan and deliver CWTAP Mentor events at 7 DCYF practicum offices each year.
+ Manage and review the syllabi and quarterly practicum guides for clerical accuracy and to ensure all UW required language is included and updated. Ensure timely distribution to team and all students.
+ Manage Title IV-E certification process – requesting certification (every 6 months) from the DCYF Title IV-E Specialist for all identified cases to ensure federal compliance, track and maintain certifications
+ Build, monitor and track all CWTAP electronic data, documents, databases (i.e., student contact information, field placement, student recruitment, admissions, alumni information.)
+ Manage original (hard copy) and electronic student files i.e., applications, practicum packets, Title IV-E documentation etc.
+ Maintain and update content for the UWT CWTAP webpage.
+ Attend individual supervisions, team meetings, retreats, and statewide CWTAP meetings.
+ Provide support to the Director, Program Operations Specialist and FI’s to include direct support of their needs within the program and at the7 DCYF sites where they are out-stationed.Budget and Fiscal
+ Utilize procurement purchasing credit card (ProCard) for all program purchases per University purchasing policies and procedures.
+ Utilize procurement platform (Workday) to process purchases and prepare expense reports, advances and other reimbursement requests for Director, Faculty, staff and students
+ Produce reconcile expenses, reports utilizing a variety of fiscal related data.
+ Support the Program Operations Specialist in maintaining the reporting program used by the Department of Children and Family Services (DCYF) and CWTAP for tracking of tuition amount for all students.
+ Manage CWTAP travel for Director, FI’s, staff and students and process travel reimbursements for self, FI’s and students in Workday
+ Manage office equipment, computers, laptops, student/staff onboarding, moves, security badges etc.
+ Other budget and fiscal tasks as assigned. **MINIMUM REQUIREMENTS**
+ High school graduation or equivalent AND two years of experience supporting an academic training program or equivalent education/experience. **ADDITIONAL REQUIREMENTS**
+ Experience providing administrative support to a team.
+ Project management experience.
+ Ability to work independently and to support Director, Program Operations Specialist, faculty, and staff in meeting the contractual deliveries set forth by DCYF.
+ Strong interpersonal skills; ability to work effectively and cooperatively with a wide range of students, administrators, faculty, staff and external constituencies; exemplary customer service skills.
+ Strong time management, planning, organizational skills, and attention to detail; ability to multi-task; ability to prioritize competing demands to successfully meet deadlines and project milestones; flexible and resourceful.
+ Strong verbal and written communication skills;
+ Demonstrated commitment to access and inclusion, with the ability to collaborate across diverse populations; have a strong service orientation, excellent work standards and professional demeanor. **DESIRED QUALIFICATIONS**
+ Demonstrated experience using UW administrative systems including Workday, Workday Finance, and 25Live.
+ Advanced Proficiency in Microsoft Office 365 and Google applications.
+ Knowledge of/familiarity with federal Title IV-E and child welfare practices in Washington State.
