Job Description: Facilities Coordinator
Position Overview: We are seeking a detail-oriented and proactive Facilities Coordinator to manage and maintain the day-to-day operations of our organization's physical facilities. This role serves as the primary point of contact for all facility-related matters, ensuring the workspace is safe, functional, and optimized to support staff productivity and comfort. The Facilities Coordinator will work closely with vendors, contractors, and internal teams to address facility needs, coordinate maintenance requests, and oversee project implementations.
Key Responsibilities:
Facility Operations Management:
+ Oversee daily operations of office facilities, including ensuring cleanliness, safety, and functionality to support a positive workplace environment.
+ Manage office equipment and ensure all systems (e.g., HVAC, electrical, plumbing) are operational and compliant with standards.
Vendor and Contractor Coordination:
+ Act as the primary liaison for external vendors and contractors, scheduling routine maintenance, repairs, and inspections as needed.
+ Source and negotiate contracts with vendors to ensure cost-effective solutions while maintaining high-quality services.
Maintenance and Repairs:
+ Respond promptly to facility-related issues, such as equipment malfunctions, safety hazards, and workspace needs.
+ Maintain a log of all service requests and ensure timely resolution while keeping stakeholders informed.
Space Planning and Utilization:
+ Assist with office space planning, including desk assignments, meeting room setups, and support for workspace changes.
+ Conduct regular assessments to optimize space utilization and prepare for organizational growth.
Compliance and Safety:
+ Enforce health and safety standards by completing regular inspections and ensuring compliance with local regulations.
+ Maintain emergency preparedness plans, conduct drills, and ensure emergency equipment (e.g., fire extinguishers, alarms) is in working condition.
Inventory and Supplies Management:
+ Monitor and maintain inventory levels for office supplies, furniture, and facility-related equipment.
+ Place orders for necessary supplies and ensure timely delivery to avoid disruptions.
Administrative Support:
+ Maintain facility records, including maintenance schedules, warranties, and vendor agreements.
+ Prepare reports on facilities-related budgets, expenses, and project timelines when required
• Ensure compliance with safety standards and regulations during all maintenance operations.
Requirements
Qualifications:
+ Previous experience in facilities management, office administration, or a related role preferred.
+ Strong organizational and multitasking skills, with a detail-oriented mindset.
+ Excellent problem-solving abilities and the capacity to respond quickly to facility-related emergencies.
+ Proficient in using facility management software and basic Microsoft Office tools (e.g., Excel, Word).
+ Strong communication and interpersonal skills to coordinate across diverse teams and vendors.
Physical Requirements:
+ Ability to perform physical work when needed, such as lifting or moving equipment and supplies.
+ Comfortable with walking, standing, and navigating through facility premises during inspections or repairs.
Work Environment:
This role primarily takes place in an office setting, with occasional visits to other company locations, construction sites, or vendor facilities as required.
Preferred Qualifications:
+ Certification in facilities management, such as Certified Facility Manager (CFM) or Facilities Management Professional (FMP) (preferred, but not required).
+ Familiarity with sustainable facility practices or energy-efficient solutions is a plus.
