MWBE Program Assistant Coordinator
Required Qualifications (as evidenced by an attached resume):
High School Diploma/GED and five (5) years of full-time administrative experience working with supplier diversity programs or Bachelor’s degree (foreign equivalent or higher) and one (1) year of full-time experience in an administrative role working with supplier diversity programs. Experience in Microsoft Office Suite and/or Google Workspace.
Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher). Additional years of work experience with supplier diversity programs. Experience in higher education, a public sector, and/or a unionized setting. Knowledge of and previous experience with NYS Executive Law 15-A and 17-B, or similar federal/state laws.
Brief Description of Duties:
The Supplier Diversity Program Coordinator Assistant will assist the Program Coordinator with promoting and administering the program to increase the University’s Minority and Women-Owned Business Enterprise (MWBE) Program and Service-Disabled Veteran Owned Business (SDVOB) utilization to achieve Stony Brook’s MWBE 30% MWBE and 6% SDVOB goals of eligible contract spend. Excellent organizational, analytical, written, and verbal communication skills will be necessary for success.
+ **Support SUNY’s Goal of 30% MWBE & 6% SDVOB Utilization:** In support of SUNY Stony Brook University’s goal of 30% MWBE utilization and 6% SDVOB utilization:
+ Assist the project manager with analyzing eligible procurements for Commodities, Services, & Construction to establish Diversity Goals in accordance with the NYS Executive Law 15-A and SUNY Procedures 7556-7557-7564.
+ Use SUNY goal setting procedures and systems to process procurement Work Scope-Cost Estimate to determine Goals and identify Certified Diverse Suppliers.
+ Assist with preparing and submitting waiver requests as required.
+ Serve as liaison between SBU and the SUNY Supplier Diversity Program Office for approval of waiver requests and other required Supplier Diversity matters, documentation, and reports.
+ Assist the senior staff in other University Supplier Diversity Programs and work with senior staff to help develop processes to prevent/assist with issues regarding barriers.
+ **MWBE-SDVOB Compliance & Reporting:**
+ Work with senior staff to instruct and advise Contractors in the use of the NYS Contract System for compliance reporting.
+ Assist with the implementation of procedures for EO 162 and enforce Diversity Practices Questionnaire compliance.
+ Assist senior staff with monthly and quarterly statistical data on MWBE-SDVOB utilization and work with the SUNY University-wide MWBE-SDVOB Office to address reporting problems. Work with senior staff to create processes to eliminate reporting issues.
+ Ensure the accurate entering of contract/PO data in the NYS Contract system.
+ Serve as the backup to the senior staff to assist the campus Research Foundation (RF) office as necessary in the review of MWBE goals for ESDC grants and assist the RF office with determining feasibility of attaining the requested goals, finding qualified MWBE firms or submitting goal waiver requests.
+ **MWBE-SDVOB Internal Stakeholder and External Supplier Outreach:**
+ Assist senior staff in pre-proposal or pre-bid meetings to discuss MWBE-SDVOB requirements/compliance. Work with Stony Brook Procurement and user department staff in responding to proposal/bid questions on MWBE requirements.
+ Assist with reviewing and approving Contractor MWBE-SDVOB utilization plans and other required MWBE-SDVOB documentation and reports.
+ Communicate with Contractors regarding compliance with MWBE-SDVOB goals and institute remedial action where required.
+ Work to increase utilization of NYS certified MWBEs, Veteran-owned and NYS Small Businesses.
+ Serve as liaison between Stony Brook and the SUNY University-wide MWBE-SDVOB Office alongside the senior staff, for review and approval of contractor MWBE-SDVOB utilization plans, waiver requests and other required MWBE-SDVOB matters documentation and reports.
+ Work with Stony Brook user departments to understand the work to be contracted and prepare a target list of potential MWBE-SDVOB firms for solicitation based on availability in the ESDC (Empire State Development Corporation) listing of certified MWBE-SDVOB firms.
+ **Other duties as assigned.**

The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research policies and procedures, sponsor guidelines and the availability of funding. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
