Position Title Senior Clerk, International Admissions Operations
FLSA Non-Exempt
Primary Responsibilities
Summary
This position serves as the primary clerical staff member working with international inquiries and applicants. They will work closely with the Executive Director of International Admissions to support their recruitment, application processing, and reading efforts. In addition, this position will serve as the primary backup for several essential duties performed by other members of the admissions operations staff. This position will require some overtime work.
The successful candidate will possess strong communication, organization, and time management skills. They will exhibit professionalism, good judgement, the knowledge of when to ask clarifying questions, and a desire for continuous improvement in their assigned duties.
This position serves under the direction of the Director of Admissions Information Systems.
Responsibilities
• International Application Processing: Under the direction of the Executive Director of International Admissions, learn and accurately implement all aspects of assembling, recording, filing, and processing international student applications. Communicate as needed with applicants to request additional materials/information, and to answer questions about the application process and materials needed.
• International Admissions Clerk: Maintain all data points for international student prospects, inquiries, and applicants as well as organizations. Perform data entry for events, requests for information, and updates to organizations and organization contacts. Assess submitted materials to assist with the prioritization of applications for the Executive Director of International Admissions. Respond to emails and inquiries as needed under the direction of the Executive Director of Admissions.
• Admissions Email Account: In conjunction with other members of the operations staff, monitor and respond to incoming messages in the admissions email account. This may include forwarding messages to appropriate colleagues, adding information to student records, and responding to emails as needed.
• Front Desk/Visit Coordination: Serve as the primary backup for our front desk reception and visit coordinator. Perform all clerical duties associated with visits to campus, including preparing name tags, letters, and welcome packets, greeting prospective students, families, and other visitors, and updating and maintaining the visit calendar, including scheduling appointments and working with campus partners to coordinate appointments or other requests. Perform lobby duties, including tidying, refreshing the coffee station, and maintaining a welcoming atmosphere.
• Telephone Receptionist: Serve as the primary backup for answering the main admissions phone line. Respond to incoming calls with professionalism and courtesy and accurately transfer calls to appropriate colleagues as needed.
• Mailing Coordination: Serve as a backup for the mailing coordinator. Retrieve data files, create mail merges, print letters, postcards, and envelopes, coordinate assembly/stuffing of mailings, and work with student workers as needed to ensure timely and accurate outgoing mailings.
• Domestic Counselor Mailings: Serve as a backup for assembling and sending recruitment packages for domestic admissions counselors. Must be proficient to work with the FedEx website and USPS .
• Admissions Event Support: Serve as a backup to assist with admissions events. Create nametags, welcome bags, and other materials. Coordinate with the Admissions Event Coordinator to respond to special requests, such as meeting with campus partners, and assist as needed with event preparation.
• Data Entry: Perform data entry for long periods of time, maintaining high levels of accuracy and ensuring information is entered in a timely manner.
• Learn and maintain knowledge associated with using Slate by Technolutions as the primary CRM .
• Perform other duties as assigned.
Regular hours: Monday – Friday from 8:00 a.m. to 4:30 p.m., with occasional Saturdays during peak visit seasons.
Minimum Qualifications
• High school diploma (or equivalent); Associate’s degree in a related field or three years of experience in a high volume, fast-paced office environment
• Excellent time management and organizational skills, and the ability to manage multiple responsibilities and prioritize tasks
• Strong communication skills
• Ability to work independently and as a member of a team
• Ability to handle stressful situations and to work in an active, sometimes noisy office environment
• Ability to adapt to changing priorities and to switch tasks on short notice
• Proficiency with the Microsoft Office Suite (Word, Excel, Outlook)
Preferred Qualifications
• Experience working with Slate by Technolutions
• Experience working in higher education
• Ability to learn and adopt new technologies quickly and thoroughly
• Data entry experience
Salary CSEA level 14 $16.72 - $23.12/hr. The actual compensation will be determined based on experience and other factors permitted by law.
