    Description of Work Unit

    The Department of Clinical Sciences offers high-quality education programs for veterinary professional associates, professional veterinary medical students, graduate veterinarians, and the public through the James L. Voss Veterinary Teaching Hospital, a faculty and veterinary medical center of excellence. Faculty and staff are dedicated to advanced medicine, excellent teaching, compassionate care, and discoveries benefiting the health of pets and people.

    Position Summary

    The full-time Graduate Education Coordinator plays a critical and supportive role in strengthening department efforts to provide quality advising and promote graduate student success. The primary functions are to advise prospective students, foster successful transition to the university, engage in innovative and holistic approaches to providing students with strategies and resources for academic success, foster student engagement, assist with timely graduation, and participate in department/college initiatives related to student advising. The duties include:

     

    + Being proactive in outreach and interventions

    + Participating in recruiting and retention efforts

    + Serve as primary contact person for the MSB VCC Program and associated Graduate Certificates: answer inquiries from prospective students; alert and remind current students of upcoming deadlines; instruct students on fulfilling Graduate School and departmental requirements and completing required paperwork for each benchmark; monitor student progress toward degree and maintain detailed student files

    + Work closely with students, faculty members, Graduate Education Committee ( GEC ) , the Graduate School, and Admissions to ensure student retention and success from admission through graduation

     

    The Graduate Education Coordinator will work closely with the MSB VCC Director, Associate Department Head for Undergraduate Education, and other advisors/support coordinators within the College.

     

    The successful candidate must be legally authorized to work in the United States by the proposed start date. The department will not provide visa sponsorship for this position.

     

    This position offers the potential for a hybrid work environment, with a combination of in-person and remote work, based on training requirements.

     

    At this time, travel funds are limited for on-campus, in-person interviews.

    Required Job Qualifications

    + Bachelor’s degree with three years of professional experience working with students in a higher education setting.

    OR

    + Master’s degree with one year of professional experience advising or working with students in a higher education setting.

    AND

    + Strong interpersonal, written, and oral communication skills.

    + Proven ability to work collaboratively in a team-oriented environment.

    + Demonstrated ability to do detailed work, prioritize multiple tasks, and meet deadlines in a fast-paced work environment.

    Preferred Job Qualifications

    + Experience advising pre-professional students or undergraduate students studying Biomedical Sciences, Biology, Microbiology, Neuroscience or related scientific field.

    + Student Affairs in Higher Education certificate or graduate degree, demonstrable continuing education in the area of student affairs and/or professional advising.

    + Experience working with student information systems including Aries, Banner and Canvas

    + Experience mentoring students and/or student organizations.

    + Experience with outreach efforts with professional organizations.

    + Ability to utilize and learn readily available computer tools (ie. Excel, PowerBI, PowerPoint) to gather, analyze and present student data.

    + Ability to work occasional evenings and weekends.

    + Advise MSB VCC and Graduate Certificate students and prospective students. Advising includes, but is not limited to: providing counsel with respect to admissions, academic status, progress leading to the desired degree, academic probation, preliminary exam and defense requirements, graduation and commencement activities, referral to any University service or department as needed, and interpretation of both the Departmental Code and the University Graduate and Professional Bulletin.

    + Review academic plans, make referrals to appropriate resources, provide timely communications with students and promote student success.

    + Maintain accurate and detailed advising records.

    + Participate in proactive outreach and retention efforts; utilize data to discern patterns of success/difficulty and design strategic interventions.

    + Field any and all student concerns and act as primary contact for all enrolled students.

    + Field all faculty concerns about mentor/mentee interactions, unsatisfactory academic progress, academic probation, conflict resolution, affirmative action, and departmental/Graduate School policy questions.

    + Work closely with students to ensure student retention and success from admissions through graduation.

    + Plan events related to graduate program operations: orientation, commencement activities, others as required.

    + Create and update procedures and documentation to support both students and faculty.

    + Manage the application and admission process for the MSB VCC program and Graduate Certificates.

    + Assist with department/college communications projects which are directed at prospective students, current students, and alumni; may include use of social media.

    + Participate in student recruitment efforts; meet with and advise prospective students and their guests as appropriate.

    + Review and process contracts for degree processing; prepare for and attend college graduation ceremonies.

    + Participate in assessment of advising services and student performance.

    + Assist in gathering and reporting advising, student performance, and student engagement data.
