Job Summary
The Administrative Assistant for Advising Operations will support the unit's efforts related to the undergraduate experience by providing leadership and administrative support to Newnan's front desk and advising operations. This position will be responsible for ensuring smooth operations of the office while providing professional and efficient services to students, parents, faculty, and staff. The market title for this role will be Student Administration Assistant Senior.
The successful candidate will provide a range of administrative services with attention to detail and discretion while being comfortable with constant change in a fast-paced student-centered environment. The administrative assistant senior will report to the director and provide overall support to the center. This role may also serve as a back-up for other administrative functions in the office as needed. This position calls for broad awareness of the operations of the college and the university, punctuality, and a high degree of tact.

The Administrative Assistant for Advising Operations will be supervised by the Associate Director of Advising Operations.

Responsibilities*
Administrative Support to Newnan Academic Advising Center Operations 90%
+ Serve as a primary point of contact for all visitors into the Newnan Advising Center
+ Greet and assist visitors, answer phone system lines, screen and schedule advising appointments, and respond to inquiries made through email and other electronic formats (e.g., online forms)
+ Provide information regarding academic advising, academic processes, college procedures (e.g., drop/add, withdrawal), external offices and departments, student academic policies, and general wayfinding
+ Use professionalism and integrity while working with students, faculty, staff, and members of the general public
+ Update information in the appointment system and related online programs and websites as needed
+ Maintain frontline staff work guides and manuals, as well as access to call queues and related electronic advising systems
+ Monitor staff calendars and student outreach/reporting
+ Assign new and continuing students to advisor caseloads based on established office procedures
+ Provide end-to-end supervision of front desk student staff (hire, orient, onboard/train, coach, lead performance management, and discipline)
+ Manage work schedules and vacation/leave requests for front desk student staff
Project Management and Director Support (10%)
+ Collect statistics for business purposes and provide presentations and/or report updates on behalf of Newnan as required
+ Deliver administrative support for continuous improvement activities, including but not limited to scheduling meetings, maintaining collaborative work files, and participating as a member of project teams
+ Stay current through professional development with trends and best practices for continuous improvement within higher education
+ Assist with leadership events (e.g. advising academy, commencement, etc.), shared drive management, and daily mail checks
Required Qualifications*
+ Bachelor degree or an equivalent combination of education and experience and at least two (2) years of administrative support experience.
+ Excellent interpersonal, written, and oral communication skills
+ Self-motivated, positive, highly dependable worker with the ability to efficiently and effectively multitask, prioritize, and problem solve
+ Demonstrated ability to interact professionally with a diverse group of staff, faculty, and students
+ Demonstrated ability to work as an effective member of an office team
+ Demonstrated ability to handle sensitive and confidential situations that require demonstrated poise, tact, confidentiality, and diplomacy
+ Strong organizational skills with the ability to learn quickly, maintain punctuality, and provide attention to detail in a fast-paced environment with frequent interruptions
+ Proficiency in computer applications, including spreadsheets, word processing, and database software, including Google Suite (email and complex calendaring systems) and Microsoft Office
