    Major/Essential Functions:

    + Performs professional level analysis and manage functions in area of volunteer faculty recruitment and appointment

    + Serves as a liaison between Office of Faculty Affairs, Office of Outreach and Community Engagement, the Office of Medical Education, clinical department staff, program directors and course directors (s) on non-salaried faculty appointments

    + Processes all non-salaried faculty appointment requests by pre-populating application forms and sending the volunteer faculty application packet to prospective faculty members

    + Assists volunteer faculty candidates with the faculty application and appointment processes at Foster School of Medicine

    + Processes peer reference forms and interacts with community physicians to increase compliance with peer reference requirements in a timely manner

    + Maintains an organized tracking system and follows a timely process of ongoing communication with volunteer clinical faculty to follow-up on missing application elements

    + Implements and maintains tracking logs and organizes/maintains digital candidate files

    + Establishes positive working relationships with key stakeholders, faculty and staff and provides customer service support and training on the non-salaried faculty appointment process to campus and external parties

    + Processes travel applications and expense reimbursements for faculty candidates and department staff

    + Verifies, evaluates and processes Chrome River P-Card expenses, submits receipts and other supporting data, and addresses clarification requests from Office of Business in a timely manner

    + Processes lodging and recruitment related expenses via TechBuy procurement system, allocate funding accordingly and ensure process completion by tracking recruitment expense spreadsheet

    + Researches and responds to miscellaneous requests from outside agencies; current, former and prospective faculty; administration; and/or Texas Tech departments for information related to non-salaried faculty appointments

    + Maintains database of community volunteer faculty and candidates and tracks them in accordance HSCEP OP’s and the institution’s needs

    + Implements the periodic renewal of faculty appointments (reappointment) for volunteer community faculty

    + Prepares reports and maintains an accurate database on current volunteer faculty appointments

    + Assists non-salaried faculty with obtaining library access, eRaider accounts, and email access as part of the on-boarding process

    + Provides support for the Faculty Senate, Faculty Senate Executive Committee, its standing committees and Ad-hoc Committees as needed, to include scheduling, tracking attendance at meetings for quorum, prepares meeting minutes, chair’s notes, presentation materials and collaterals for review and distribution flyers, programs, menus, invitations, marketing materials

    + Provides administrative support to Faculty Recruitment team to include on and off campus pick-up and deliveries, transportation of candidates, and other tasks as requested Develops graphic work including flyers, posters, brochures, programs, menus, invitations, marketing materials, etc.

    + Serves as Project Manager (PM) for at least one major faculty services project in the area of faculty retention and faculty satisfaction for the Office of Faculty Affairs Performs other duties as may be assigned by supervisor(s)

    + Adheres to all TTUHSCEP policies| procedures and processes

    + Personally demonstrates, displays, and acts in accordance with TTUHSC El Paso Values-Based Culture (Service| Respect| Accountability| Integrity| Advancement| and Teamwork)

    Preferred Qualifications:

    + Strong organizational and multi-tasking skills and ability to thrive in busy office environment with multiple deadlines

    + Ability to read, write, and communicate verbally using standard English in a professional manner

    + Ability to read and interpret policies and procedures

    + Ability to effectively present information and respond to questions from staff, faculty, and the public

    + Ability to perform mathematical calculations: add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals

    + Ability to compute rate, ratio, and percentages, and develop and interpret graphs and verify information accurately

    + Preferred experience in graphic design software and experience with Adobe design software including Canva, Power Point, Qualtrics, SOAR and FIS homebased systems

    + Knowledge of personal computers, specifically, MS Office software (Word, Excel, PowerPoint, and Access), MS Outlook, Adobe Software

    + Experience in health care field

    Pay Statement:
