Job Summary:
Provide assistance in developing and maintaining departmental budgets and financial matters for the Division of Academic Affairs, including various departments under the Office of the Provost and within the academic schools. Provide administrative support as needed within the Office of the Provost and other departments assigned in the Division of Academic Affairs.
Job Responsibilities:
+ Provide administrative support and assimilate information for the financial needs of various departments under the Office of the Provost and the academic schools. Monitor, verify and reconcile expenditures of budgeted funds in Ithaca College’s financial system. Assist in developing and tracking various restricted, endowed, grant, and capital budgets. Ensure expenditures are posted to the appropriate account, creating journal entries as necessary. Process financial transactions, pay bills, purchase supplies, and process credit card payments as needed for departments assigned in the Division of Academic Affairs. Provide updated information, data and reports as required or requested.
+ Work with other members of the Office of the Provost as needed to coordinate financial transactions related to programs, special events, and awards. Liaise with other college departments as needed to coordinate these financial reconciliations. Work with academic schools for events, programs, and awards specific to individual departments. Verify and reconcile event and program budgets, track and reconcile expenditures, pay bills, and process credit card and other financial transactions through the College’s financial system. Provide updated information, data and reports as required or requested.
+ Provide administrative and financial support during the college budget planning process. Work with the Budget Officer to enter budget information for the Office of the Provost and other departments as needed in the Division of Academic Affairs.
+ Coordinate revenue management for revenue-generating programs within Academic Affairs with the Associate Provost for Graduate and Professional Studies, Budget Officer, and other colleagues as needed in accordance with the guidelines and processes of the Division of Business and Finance. Liaise with other college offices, including Student Financial Services, Accounting, and Financial Services, as needed to reconcile, monitor, and track student payments, scholarships, and discounts. Provide updated information, data and reports as required or requested.
+ Provide additional administrative support for departments assigned in the Division of Academic Affairs to prepare confidential correspondence and reports, contracts, and agreements for guest lecturers and honoraria for programs and special events; create and maintain application processes for awards, grants, and special projects as needed; provide budget and account information for departments working in coordination with programs; provide support as needed for events and during peak office work times; and maintain related confidential files
+ Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.
+ Participate in special projects and perform additional duties as assigned.
+ Serve as a resource to assist faculty, staff, students, and external vendors with financial questions as a part of the Provost’s Financial Team. Consult with the Division of Business and Finance and other departments across campus as needed.
Qualifications:
Associate’s degree and a minimum of 2 years previous office experience or the equivalent combination of education and experience; in-depth knowledge of various word processing, spreadsheet, and database software applications; excellent attention to detail, strong organizational, interpersonal, verbal, and written communication skills; and the ability to effectively work and interact respectfully within a diverse and inclusive environment. Previous experience preferred maintaining and monitoring departmental budgets and expenditures and the ability to prioritize projects, handle multiple tasks, and meet deadlines.
Work Environment:
Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to operate a personal computer and associated equipment as well as other office equipment used in the day-to-day office operations. The incumbent may be required to deliver or pick up various correspondences or materials from other on campus locations and must be able to walk, drive, or make alternative transportation arrangements.
This position will have a hybrid model of in-person and remote work, based on business needs and team collaboration.
This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:
$21 to $22 per hour, commensurate with qualifications and experience.
