What Success Looks Like In This Job
Provide accountability on behalf of the Sheriff’s Office Jail Division when it pertains to collecting and accounting of inmate funds, transactions, incoming and outgoing, and charges that occur while in our custody.
Essential duties and responsibilities, as defined under the Americans with Disabilities Act, may include the following tasks, knowledge, skills and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is NOT a comprehensive listing of all functions and tasks performed by incumbents of this class.
Examples of Duties for Success
+ Collect, count, and verify inmate money received from booking, bonding, front desk, D-module, F-module, transport, releasing, work release, kiosk, mail room and accounting.
+ Audit, compile, and balance reports from different units in the detention facility to create a 24-hour shift report.
+ Communicate with other detention facilities, half-way houses, inmate’s family and friends, lawyers, banks, vendors and other employees.
+ Reconcile and adjust drawers for deposits for booking, releasing, mail room and accounting, transfers for the bonding unit for bonding and cash bond fees.
+ Research problems such as counterfeit bills, missing money, and money deposited in wrong accounts.
+ Encumber inmate accounts for commissary purchases, library copy fees, medical and prescription co-pays, restitution, postage, work release and ua’s.
+ Endorse payroll, government and tax return checks by addressee and provide notarized account summaries to inmates for legal purposes.
+ Charge and balance commissary sales, refunds, barber services, medical co-pays, prescription co-pays, restitution, library copy fees, postage fees and process payments.
+ Verify booking fee encumbrances, credit accounts, deposits and compile data for reports, print receipts for the kiosk, the website and telephone deposits.
+ Create daily deposits for weekly courier pickups for the bank.
+ Responsible for keeping Keefe System computer up and running at all times.
+ Consult with inmate account software vendor.
+ Audit, reconcile, and replenish petty cash.
+ Audit and reimburse copies and postage fees.
+ Verify bank statements for accounts (monthly).
+ Prepare and Issue checks to vendors, inmates, and County Treasurer.
+ Prepare reports for supervisor regarding discrepancies in shift reports, and other accounts.
+ Balance and make payments to close general ledger books, and accounts.
+ Contact with inmates in the housing unit.
+ Input data and balance and distribute report for Commissary account.
+ Compile monthly, quarterly, and annual reports and statistical information for Sheriff’s Office Administration and County Treasurer.
+ Maintain and prepare accounting records for archive and disposal.
+ Other duties as assigned.
Qualifications for Success
+ One (1) year of previous experience in banking or public accounting within the past two (2) years.
+ Knowledge of basic accounting procedures.
+ Knowledge of basic Excel.
+ Operate a 10-key by touch accurately, with a minimum of 10,000 KPH (an assessment will be administered to measure accuracy, the same day as the interview).
+ Be able to communicate verbally and in writing.
+ Detailed oriented.
+ High school diploma or equivalent education.
