    Johns Hopkins University supports a flexible work model with includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of three days a week. The manager will confirm the team's core onsite days where the majority/all of the team members will work in the office. Employees who travel on University business can count those days towards their onsite days.

     

    The Fund for Johns Hopkins Medicine (FJHM) is the dedicated development and alumni relations team supporting the entities that compromise Johns Hopkins Medicine (JHM), including clinical departments, hospitals, satellite clinics, and the School of Medicine. We contribute to Johns Hopkins Medicine's mission of patient care, research, and education through securing philanthropy, building and maintaining donor and alumni relationships, and supporting institutional priorities. FJHM partners closely with institutional leaders, faculty, and clinicians to engage alumni, patients, donors, and prospects in the JHM's work to advance medicine and improve the human condition.

     

    The Sr. Development Coordinator provides development-related administrative support to the Director of Development and a Sr. Associate Director of Development in the Department of Neurosurgery. This supports includes administrative assistance to the Director of Development as well as development support duties that include gift processing, reporting, acknowledgments, assisting gift officers with event planning and portfolio management, and reporting and database maintenance. This breadth of activity, number of internal and external partners, and the fast pace of the office requires a high level of independent thinking, attention to detail, flexibility, advanced computer skills, and excellent interpersonal communication. This position requires discretion and mature independent judgement in handling sensitive and confidential information.

    Key responsibilities:

    _Gift Processing:_

    + Process charitable gifts and pledges to Neurosurgery, including assigning funds to appropriate accounts and initiating the creation of new accounts and endowments. This requires routine interaction with the Neurosurgery faculty and administration, the Johns Hopkins University Treasurer's Office, and multiple offices within the Fund for Johns Hopkins Medicine (FJHM).

    + Learn and utilize all gift processing technologies and databases including but not limited to, Paywire, CPA, the donor CRM system (JHAS) and Merkle

    + Serve as Neurosurgery Development liaison to the Treasurer's Office, Office of Gift Planning, Development Business Services, and other Johns Hopkins offices for matters related to the management of charitable gifts

    + Triage inquires from donors and designated representatives related to their gifts, including contributions of cash, stock, estate distributions, and other planned giving vehicles.

    + Audit donor database entries and account allocations for errors, correct all discrepancies in collaboration with Development Business Services

    + Copy, scan, and file all necessary gift and pledge documentation

    + Run weekly gift reports and communicate with gift officers and faculty about gifts received

    _Acknowledgments, Stewardship, and Donor Engagement:_

    + Develop and maintain templates for all acknowledgment letters for the chairman and the Director of Development

    + Draft, proofread, and send personalized gift acknowledgment letters for the chairman and Director of Development, adhering to established deadlines

    + Track donor stewardship in JHAS. Run faculty gift reports as faculty stewardship touch for grateful patient fundraising

    + Utilize platform such as Outlook, Marketing Cloud, and Constant Contact to draft and send donor communications, including group stewardship communications to Neurosurgery donors

    _Data Management:_

    + Maintain integrity of databases including creating, maintaining and updating demographic information, actions, proposals, and medical constituent information

    + Maintain, monitor, and update all physician referral activity in the development database in collaboration with gift officers

    + Run routine reports in JHAS to track gift officer activity throughout the fiscal year and update as necessary

    + Create and run customized reports in JHAS for the development team, including a weekly report of prospects and upcoming patients with wealth indicator, giving history, region, capacity and risk, high lifetime neurosurgery giving, grateful patient, and research information

    _Administrative Duties:_

    + Assist the Development team with planning and implementing special events, donor events, stewardship meetings and Board meetings

    + Receive, screen, and triage incoming telephone calls, emails, and mail

    + Develop a thorough working knowledge of SAP financial system. Process receipts and expense reports for the Director and development team members within established deadlines

    + Order office supplies, special-order materials, and other office-related equipment as needed

    + Track the office operating budget, reconcile monthly budget transactions, and prepare year-end closing paperwork

    + Assist gift officers with administrative and logistical support related to donor, prospect, or patient visits

    + Field inquires from donors regarding questions about charitable gifts

    + Additional duties as assigned

    _Event Support:_

    + Work wit Director, donors, and faculty to strategize event vision and plan

    + Coordinate with central FJHM events team on event logistics

    + Coordinate vendor relationships including communicating with caterers, restaurants, florists, photographers, AV teams as well as in-house partners

    + Under supervision of the Director, create and produce event material such as invitations and programs, manage donor event communications, and maintain invite and response lists

    + Act as a financial liaison for events by processing all payments and keep track of event budget

    + Generate and maintain a calendar of events, adhering to deadlines

    Minimum Qualifications

    + High School Diploma or graduation equivalent.

    + Five years related administrative experience.

    + Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.

    Preferred Qualifications

    + One year experience in a Development office preferred.

    + Knowledge of Johns Hopkins Medicine and/or development operations.

    + Strong computer literacy skills and the aptitude to learn new software.

    + Excellent interpersonal, verbal, and written communication skills.

    + Ability to work independently and maintain a high degree of professionalism and confidentiality.

    + Ability to perform within severe time constraints with the highest degree of accuracy, effectiveness and diplomacy.

    + Ability to understand workload and time constraints to determine priorities based on the needs of neurosurgery and its development office.

    The listed salary range represents the minimum and maximum Johns Hopkins University offers for this position, based on a good faith estimate at the time of posting. Actual compensation will vary depending on factors such as location, skills, experience, market conditions, education, and internal equity.
