Job Summary and Qualifications
The Capital Project Manager is responsible for the successful execution of FacilitiGroup capital infrastructure projects and special initiatives. The primary responsibilities include contract and process execution in e-Builder, managing project budgets, managing project schedules and communicating with FacilitiGroup staff, hospital staff, consultants and contractors. The Project Manager will contribute to accomplishing spend goals including planning for ways to hit spend targets. This position involves strategically managing a high volume of smaller infrastructure projects similar to paving replacements, roof replacements, boiler replacements, chiller replacements and electrical emergency power upgrades.
What you will do in this role:
+ Manages project crises in a dynamic environment involving communication with facility executives, construction teams and consultant teams
+ Leads project meetings involving multiple stakeholders and manages potentially high priority discussions
+ Interfaces with the Divisional Director of Facility Management and field PMs to work closely with them on project status
+ Writes and issues contracts to engineers, contractors, commissioning agents and other consultants
+ Initiates, manages and tracks processes in e-Builder for capital infrastructure projects
+ Serves as a lead resource for the Department in leading and guiding off-team PMs or field PMs in managing projects and utilizing e-Builder as a project management tool
+ Seeks out inefficiencies and implements improvements to increase team process times
+ Evaluates new and improved project management methods for continuous improvement in managing of a high-volume of projects
+ Manages consultants and helps ensure that the consultants meet performance expectations
+ Supports the Director of Capital Project Delivery in strategic goals, initiatives and special projects
+ Manages the schedules of infrastructure projects to make sure that projects stay on schedule
+ Manages the budget of projects to ensure projects stay within budget levels
+ Coordinates with the Capital Planning Manager the readiness of project documentation for project starts
+ Initiates and starts new projects in e-Builder
+ Coordinates with the Capital Planning and Analytics Department on budget approvals for project starts and the approval of capital changes
+ Sets up new users in e-Builder and assists with eB user audits in coordination with the e-Builder administrator
+ Creates contracts and routes to appropriate signatories to initiate design and construction for capital projects
+ Assist and leads reporting for certain accounting deliverables such as SOX Compliance Report, Close Meeting Report or Abandonment/Cancellation Report
+ Tracks cash flow projections of projects to direct timely billing of projects in coordination with spend goals
+ Tracks vendor performance through custom dashboards or spreadsheets
+ Reviews change orders, date changes, pay applications and other project processes as required for the successful execution of the project
+ Facilitates project team meetings and conference calls to promote good communication and follow-up on project issues
+ Trains vendors via WebEx, conference call or direct in-person meetings
+ Presents relevant content via WebEx or conference calls with consultants, field PMs, Divisional Directors of Facility Management and other staff
+ Communicates with hospital personnel (including members of the C-Suite such as the COO, CEO or the CFO) and FacilitiGroup personnel on project status and details
+ Develops new and ongoing process improvements, automations or AI solutions
+ Contributes and assists with bid portal RFPs, review of bids or vendor awards as needed
+ Assists and tracks GPO spend on capital infrastructure projects as needed
+ Coordinates with other departments such as Tax, Risk and Insurance, Development and Real Estate on project related issues
+ Lead and delegates project management duties to non-team PMs and field PMs as needed
+ Travel to hospitals to visit and observe the progress of projects
+ Follows FacilitiGroup Capital Delivery Team Policy and Procedures
+ Other duties as necessary
Knowledge, Skills, and Abilities
+ Self-starter, ability to work independently
+ Adept with coordinating and leading multi-disciplinary teams
+ Ability to multi-task and manage a large number of projects
+ Follows policy and procedure in a structured environment
+ Must be organized and detail oriented
+ Possess strong interpersonal skills
+ Communicates well in technical and non-technical conversations
+ Experience with Microsoft Office products including Excel, Word, and Power Point required
+ More advanced skills in Excel preferred
+ Experience with e-Builder, ProCore, or similar software preferred but not required
+ Experience in Power BI, Power Apps, MS Apps is a plus
What qualifications you will need:
+ College undergraduate degree required
+ Five to seven years in construction industry or related that involves the managing of projects
+ Successful track record of project management execution and completion
+ Experience in healthcare design and construction is a plus
+ Experience with mechanical, electrical and plumbing systems is a plus
+ None required
+ PMP Certification is a plus
