The School of Dentistry has an outstanding opportunity for a Regional Affairs Administrator to join their team.
The Administrator for the Office of Regional and Global Affairs, is responsible for managing the operations of the office concerning grants and contracts management, academic HR, operating and grant budget management and forecasting, curriculum oversight and adherence to Commission on Dental Accreditation (CODA) standards. The Regional and Global Affairs Administrator receives project priorities from the Associate Dean for Regional and Global Affairs and reports to the Assistant Dean.
The position performs a wide range of diverse and specialized management and supervisory activities to co-develop, implement, and manage program operations. The employee regularly exercises independent judgment and discretion in work directly related to management policies or department business operations and has delegated authority to make commitments that affect and represent the Educational Partnerships Program, Office of Regional Affairs and the operations of the School of Dentistry. The position supervises a 50% Fiscal Specialist. The team focuses on regional advanced dental educational opportunities as well as improving oral healthcare access and reducing oral health disparities through pathways and volunteer activities. The scope of the office includes workforce diversity development programs and clinical care service-learning partnerships with local and regional community organizations, interprofessional health teams, and educational entities. Collaborations may involve travel to Eastern Washington, Western Washington, Montana and other areas. The Regional and Global Affairs team is committed to creating a culture of equity, diversity and inclusion through its outreach work as well as within its own operations.
This position requires an individual who is especially detail-oriented and has strong organizational skills. It requires an individual who is skilled at budgeting, academic HR, managing team members, and curriculum management. The selected candidate should be comfortable with identifying and pursuing creative problem solving, as well as being able to effectively communicate with a variety of internal and external stakeholders. Candidate should have an intermediate understanding of the MS office suite; and intermediate understanding of UW travel procedures, Workday operations and Procard reconciliation. Previous experience in the oral health field desired but not required.
**DUTIES AND RESPONSIBILITIES** (50%) Grants Administration/Project Management
+ Oversee budget and proposal preparation for federal grants, industry grants and contracts, working with sponsors, Principal Investigator (P-I), and UWSOD teams.
+ Serve as primary liaison with the Office of Sponsored Programs, Grant and Contract Accounting, and Management Accounting & Analysis on pre- and post-award setup and monitoring and award fund management.
+ Supervise the fiscal management of all grant/contract budgets within the Office of Regional and Global Affairs from all sources, which include several multi-year, $1M+ federal, state and foundation awards. Assure compliance with funder guidelines and fiduciary responsibility.
+ Review all budget reports monthly for accuracy and for any potential problems, reporting to Assistant Dean.
+ Complete Faculty (FEC) and Staff (Non-FEC) effort reports. Ensure accurate cost share and salary cap details are recorded in Workday.
+ Generate reports, maintain statistical data and documentation for all current Regional Affairs grant and contract awards as well as for future grant applications.
+ Manage the aims for designated federal and state awards, often serving as key personnel on the project and contributing to project deliverables, including project publications.(30%) Financial Management/Analysis
+ Supervise the fiscal management of all 20 budgets within the program. Establish procedures that follow best practices and audit requirements.
+ Oversee the budgets, monitor expenses, provide regular reports; review and respond to reports from the University’s Budget Office. Prepare and analyze budgets associated with strategic planning initiatives regarding program expansion.
+ Forecast across budgets, documenting past, present and future expense tracking for an overall financial snapshot at any given time.
+ Supervise monthly budget reconciliation, invoicing and tracking accounts receivable, and budget tracking and forecasting for GOF and grant budgets.
+ Supervise expenditure tracking on ProCard and CTA and production of monthly reports.
+ In concert with department Assistant Dean, track and forecast spending.(10%) Academic Human Resources
+ Manage affiliate faculty appointments (10-15 per year), annual reappointments (50 per year) and promotions in compliance with institutional policies.
+ Facilitate communication between affiliate faculty and the institution, addressing any questions or concerns related to appointments, reappointments, and promotions.
+ Provide support and guidance to affiliate faculty throughout the appointment, reappointment, and promotion processes, ensuring they understand the requirements and procedures.(10%) Curriculum and Program Oversight
+ Help promote and resource programs and mission-driven initiatives. Participate in leadership and budget meetings for leadership team, anticipating needs, informing and updating across projects and programs to assist team with strategic initiatives and overall program management.
+ Serve as a content expert for curriculum and course management, monitor deadlines, manage work flow and ensure deadlines are achieved.
+ Ensure that CODA concerns specific to ORGA and related clinical experiences are answered and well documented for the Dental School accreditation.
+ Anticipate potential management problems, evaluate and make recommendations for appropriate action and keep Associate Dean and Assistant Dean informed.
+ Perform other job related duties as required. **MINIMUM REQUIREMENTS**
+ Bachelor’s Degree in Marketing, Communications, Public Relations, Business, Education or other related fields.
+ 4 to 5 years experience in Program Administration. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
