Responsibilities:
GENERAL PURPOSE:
The Administrator will provide oversight, coordination and implementation of space management and planning activities for the department. Will set policy and priorities, plans, establish and oversee the administrative procedures of space planning. Will work collaboratively with liaisons from Space Planning Office. Will work in collaboration with clinical operations, research, and educational programs, on business and space projects.
The Administrator will also lead project implementation in the department. Will be responsible for end-to-end project leadership as assigned by the Chief Administrative Officer, including designing, implementing, and leading the structure necessary to achieve all project goals in a timely manner. The Administrator will collaborate with leaders within the Department of Psychiatry, as well as others across the University on projects and initiatives both short-term and long-term. The Administrator will assist in identifying and prioritizing projects based on the Department of Psychiatry’s strategic plans. This role operates under the general direction of the Chief Administrative Officer with significant latitude for independent judgment and action.
Subscribes to the Department's goal of creating a culturally competent environment by treating patients/families, trainees, research subjects, and co-workers in a sensitive and caring manner with appropriate attention to cultural differences. Participates in available cultural competence events and training.
ESSENTIAL FUNCTIONS
Space Planning, Management & Monitoring:
+ Represents and serves as spokesman for department and project lead in communicating instructions and in interpreting administrative space matters, space projects and in some instances will serve as project lead.
+ Determines equipment needs and makes allocations within the department or project. Initiates or authorizes orders for space, equipment, supplies and services. Prepares budget for purchase or repair of major equipment. Maintains liaison with respect to maintenance, custodial, purchasing and other central services.
Planning and Development:
+ Directs and manages project development: In collaboration with the Department of Psychiatry’s Sr. Administrators and under the direction of the Chief Administrative Officer, develop and implement a process to identify and prioritize appropriate projects based on the Department of Psychiatry’s strategic priorities. Provide leadership to projects that qualify including projects impacting the entire Department of Psychiatry, its regional strategy, and projects specific to adult ambulatory services that impact multiple divisions.
+ Defines project scope, goals, and deliverables that support business goals in collaboration with senior management and stakeholders
+ Leads and manages project planning, resourcing, staffing, supply and subcontract management, progress reporting, troubleshooting and people management
+ Directs, manages and guides key business initiatives. Responsible for the overall direction, coordination, implementation, and execution of multiple, simultaneous projects ensuring consistency with department strategy, commitments and goals
+ Monitors performance and recommends schedule, cost, or resource adjustments. Ensures results meet requirements regarding quality, cost and delivery.
+ Facilitates project meetings, governance committees and work groups as appropriate
Operations Excellence:
+ Assist with the development of performance improvement programs creating a culture of continuous improvement and operational excellence.
+ Identify roadblocks for implementing operational performance tracking and changes as well as assist with developing and implementing strategies for correction.
+ Lead the development of performance improvement programs and collaborate with key leaders for implementation
+ Develop and disseminate standard quarterly report cards for each division to track clinical productivity.
+ Function as a content expert, resource, and spokesperson for operations excellence.
+ Collaborates with nursing leadership to track key performance indicators for inpatient care and supports operations as needed.
Transformational Change Management:
+ Uses change management frameworks to support faculty, staff, and patients through significant changes to practice and process.
+ Leads the development of communication plans in support of clinical programs and works closely with marketing and communications professionals on plans that support achievement of department goals.
+ Ensures optimal implementation of new clinical initiatives, including optimization initiatives.
Personnel:
+ Along with Chief Administrative Officer, oversees and provides guidance to staff that are involved in business planning and space projects; provides the necessary training to develop, support and evaluate their performance; develops and establishes procedures and schedules to meet operation needs. Lead Administrator for Strategic Planning, arranging retreats, agenda, pillar score cards, and presentations.
+ Attend relevant meetings, committees and huddles.

MINIMUM EDUCATION & EXPERIENCE
+ Bachelor's degree and 5 years relevant experience, including at least 2 years at a managerial level (personnel, fiscal and resource management); or equivalent graduate training or experience in a specialty suited to the assignment required.
+ Master's degree, equivalent course work, or specialized experience in an appropriate field related to the assignment is desirable preferred.
+ Lean or specialized experience in an appropriate field related to the assignment is desirable and preferred.
KNOWLEDGE, SKILLS AND ABILITIES
+ Excellent verbal and written communication skills, including the ability to effectively network within and outside the University and the ability to develop detailed written proposals.
