Description We are looking for a skilled Legal Billing Specialist to join our team in La Jolla, California, on a Contract to permanent basis. In this role, you will play a pivotal part in the accounting department, ensuring accurate and timely billing for legal services. This position requires strong communication skills, attention to detail, and the ability to work effectively with attorneys, clients, and vendors.
Responsibilities:
• Review and modify pre-bills based on attorney requests, preparing them for electronic submission and managing tasks such as splitting bills or applying retainer funds.
• Compile and submit attorney and paralegal time records to clients in accordance with their billing guidelines.
• Process electronic invoices through client billing platforms, troubleshooting and resolving any issues that arise during submission.
• Manage a high volume of billing cycles while ensuring accuracy and adherence to deadlines.
• Verify the accuracy of billing data and supporting documentation, addressing any discrepancies as needed.
• Research and resolve billing inquiries effectively, maintaining a proactive approach to problem-solving.
• Apply client-specific billing guidelines, ensuring compliance with rates, billing schedules, and other expectations.
• Collaborate with the Accounting Manager to meet billing objectives and address any concerns.
• Work closely with fellow Billing Specialists to implement both short-term and long-term billing initiatives.
• Troubleshoot and resolve technical issues related to billing software, ensuring seamless operations. Requirements • A minimum of 3 years of billing experience within a detail-oriented services or legal environment.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Hands-on experience with legal billing software, preferably ProLaw Enterprise.
• Familiarity with third-party administrative systems such as eBilling Hub or similar tools.
• Strong organizational skills with the ability to multitask and manage time efficiently.
• Experience with electronic billing processes, including invoice submissions, budgeting, and timekeeping.
• Excellent written and verbal communication skills, with the ability to maintain professionalism under pressure.
• A detail-oriented mindset with the ability to adapt and learn in a dynamic environment.
