    Brief Position Overview

    Serves as the program coordinator for the undergraduate and graduate programs in the Mechanical & Industrial Engineering Department. In this role, this person will perform course scheduling duties for the entire department paying careful attention to faculty workload concerns and student schedules. This person will also work with advisors to facilitate course registration. Additionally, this person will serve as the primary coordinator to the graduate students within the department and is responsible for correspondence with potential students, offer and assignment letters, graduate office interactions and other graduate program concerns as required. This person supports the Department Head and faculty with reporting data, search management and as liaison to both NACOE and other campus offices.

    General Statement

    Mechanical & Industrial Engineering (M&IE) is the largest academic department on the MSU Bozeman campus. Undergrad and graduate enrollment currently totals approximately 1500 students. It offers four undergraduate programs which include Mechanical Engineering ( EMEC ), Mechanical Engineering Technology ( ETME ), Industrial and Management Systems Engineering ( EIND ), and Financial Engineering ( EFIN ). The department also offers M.S. degrees in Industrial & Management Engineering (I&ME) and Mechanical Engineering, and the PhD in Engineering with options in EIND and EMEC . Also offered are four minors which include Aerospace, Mechatronics, Materials, and Financial Engineering, with more on the horizon. The department maintains a robust research component, but this position has limited interface with those activities.

     

    The person in this position serves as the program coordinator for the undergraduate and graduate programs in the Mechanical and Industrial Engineering Department. In this role, this person will perform course scheduling duties for the entire department paying careful attention to faculty workload concerns and student schedules. Additionally, this person will serve as the primary coordinator for the graduate students within the department and responsible for correspondence with potential students, offer and assignment letters, graduate office interactions, and other graduate program concerns as required.

     

    Duties and Responsibilities

    Graduate Student specific duties:

    + Manages the academic progress and concerns for graduate students across the programs within the M&IE Department.

    + Provide support to graduate students to ensure they are on academically on track and can provide answers regarding each student’s progress through the academic requirements leading to degree completion.

    + Correspond with prospective students and manage offer letters and assignment letters for each student.

    Undergraduate Student specific duties:

    + Manages the Fundamentals of Engineering (FE) exam data for undergraduate senior students. Communicate with senior standing students about exam dates, application forms and collecting their record of examination. Prepare and share the ABET and departmental annual reports.

    + Provide academic support as needed for junior and senior level undergraduate students in relation to course registration related issues, PE exams, and handling of the course wait list.

    Additional duties assigned to this position include:

    + Manages the academic catalog and curriculum changes across the programs within the M&IE Department through the Courseleaf Curriculum management system.

    + Manages the course scheduling for the entire M&IE Department.

    + Coordinate the process and assist faculty for the assignment of departmental Scholarships. Represent the faculty on the COE Scholarship Committee.

    + Manage and assist the process for student awards and nominations.

    + Aid in departmental projects such as accreditation support, job searches, faculty retreats, Industrial Advisory Board meetings.

    + Manages the department program meetings related to academic affairs.

    Required Qualifications – Experience, Education, Knowledge & Skills

    + Progressively responsible program coordination with administrative and customer service experience.

    + Experience with advising, or consulting personnel through a set administrative policies.

    + Experience coordinating and planning complex schedules involving multiple individuals and constrained resources.

    + Demonstrated experience using Microsoft Office Suite, including Word, Excel, Outlook.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

    + Exposure to and/or experience with initiating and managing a complex schedule for nearly thirty individuals.

    + Experience working with students on issues involving their academic progress through program requirements.

    + Experience working with the MSU Graduate Program and its requirements for graduation.

    + Exposure to and/or experience with initiating and managing a departmental orientation process for entering graduate students.

    + Exposure to and/or experience with drawing initial conclusions on applying transfer coursework to academic program requirements.
